Club Registrar and Administrator

**Requirements**:

**Rate of pay**: $17/hour.
**Duties include **(but are not limited to):
- Provide administrative support to the President of the Board of Directors (BOD), including attending Board meetings as a non-voting member, following up with Board members and volunteers on action items, and other Board related duties as indicated by the President.
- Prepare registration paperwork for review with the Head Coach and then submit to the Secretary to file with BCRSGF to ensure all updates are completed at the beginning of the season and at key points throughout the season (September, January and April).
- Learn how to manage monthly invoicing for class fees including creating invoices and tracking payments. Assist with these tasks as requested by the Board.
- Ensure members have paid outstanding fees (including registration and class fees) and make sure accounts are up to date with complete contact information.
- Ensure that the website has the most recent applicable risk waivers for gymnasts.
- Ensure registration database is updated when changes to registration happen (e.g., change to classes).
- Ensure class lists remain accurate and up to date (including emergency contact info.) and that these are distributed to coaches prior to the start of each session and as needed.
- Coordinate competition registration through the website, including fee collection and travel planning (e.g., recruiting volunteers to help with travel planning).
- Manage Pro-Shop, including listing inventory, collecting incoming orders and payments, coordinating orders from vendors, and distributing goods.
**Marketing and Communications**
- Help the President to develop an internal and external communications plan for the year.
- Maintain and update information on the Club’s website relating to the programs, class schedules and pricing.
- Develop and distribute an internal regular club newsletter in collaboration with BOD and Head Coach.
- Help to identify key marketing and promotion opportunities and events in the community in collaboration with the BOD.
- Draft and get approval from executive for advertisements regarding registrations, AGM, and special events, and recruit volunteers as needed to help with this activity.
- Collaborate with Head Coach and President to develop job descriptions for each level of coaching, including training and requirements.
- Develop standard coaching contracts and agreements and work with BOD to implement.
- Ensure all coaches have completed required training, criminal record checks, and waivers for general coaching and for specific events.
- Put together an online storage solution for key team and HR documents (e.g. Google Drive).
- Develop communication templates (e.g. to standardize responses to new inquiries), timeframes for responding to people, and standard approaches to certain types of inquires (e.g. trial classes, how to determine the class for the right gymnast, etc.).
