The Human Resources division is seeking a temporary Human Resources Associate to join our dynamic team. This position is responsible for providing a wide range of functional support to the Human Resources division.
**Essential Duties**
- Enter employee data into the payroll/HRIS system and accompanying modules including: new hires, rehires, transfers, layoffs, leaves, rate changes, change of personal information, retirements and produce various reports
- Assist HR Officers and Payroll/Benefits to ensure payroll deadlines are met, data is entered accurately and any system challenges are quickly addressed
- Responsible for containment of confidential information and acting as Records Liaison, maintains all confidential employee records, paper based and electronic, including personnel, medical, WSIB, training, recruitment and benefits
- Assist employees with completion of forms including change of personal information, tax forms, hire offer letters
- Deliver, sort and retrieve general City mail daily, arrange courier shipments and registered letters as required
- Complete student and volunteer firefighter recruitment by administering defined processes along with department supervisors
- Conduct orientation of all new and returning employees including summer students and volunteer firefighters
- Maintain and update the employee website, ensuring accessible requirements are met
- Maintain and update tracking databases, generating reports as required such as accident/incident, loss of earnings, Form 7’s, workplace inspection reports
- Coordinate various training activities including scheduling, training requests, facility set up including catering if required, purchasing supplies, coordinating facilitators, preparing related paperwork and maintaining the SharePoint training calendar
- Prepare agendas, attend, record and distribute minutes and monitor task lists for various meetings
- Input and track all WSIB charges; calculating departmental chargebacks monthly
- Track driver’s licenses monthly and run abstracts annually to ensure policy compliance
- Compose confirmation of employment letters for signature
- Investigate, prepare and distribute donations and condolence cards for Memorial donations
- Manage the production and distribution of employee ID cards
- Purchase and maintain division stock in accordance with the City Purchasing Policy
- Assist with various tasks for employee recognition including creating the invitation list, preparing certificates and packages, ordering gifts and supplies, and being the point of contact for inquiries relating to the event
- Participate in the development, marketing and implementation of the annual “Take Your Kid to Work Day’ program
- Conduct research for special projects
Maintain various bulletin boards related to recruitment, training, health and safety and benefits
- Perform other related duties as assigned
**Qualifications**
- Post-secondary diploma in Business Administration, Human Resources
- Minimum 2 years of progressive experience, preferably in a municipal environment
- Effective oral communication and strong interpersonal skills to deal with members of the public, council and all levels of staff
- Excellent written communication skills; attention to detail with the ability to work accurately with numbers
- Demonstrate professional and ethical responsibility to protect privacy, use confidential information appropriately, treat sensitive situations with appropriate degree of tact and discretion, and maintain confidentiality at all times
- Demonstrated customer-service skills at a level to develop and to maintain cooperative/collaborative working relationships both within and outside the organization
- Demonstrated time-management skills with the ability to prioritize workload and meet deadlines, effectively, with mínimal supervision; ability to deal with multiple demands
