Clean Harbors is currently looking for a **Regional Admin Manager**. The Regional Admin Manager is responsible for the oversight of regional sites to ensure efficient operations. The Regional Admin Manager ensures consistent utilization of all systems to include administrative processes, customer setup/configuration, quote and pricing setup, order setup, worksheet entry, third-party billings/entry, payroll entry, customer purchase order setup, and invoicing (Full Order to Cash process flow). Planning for administrative coverage for shutdown / turnaround events. Monitor and assess the performance of all administrative operations and processes at branch locations - Travel to branch offices and customer locations to review administrative coverage and assess staff. - Monitor, document & track Key Performance Indicators (KPI's) of branch administration; to include management of performance metrics, such as DSO, Accruals, Vendor invoice, - monthly close and reconciliations. Provide guidance and expertise in all intercompany platforms (WIN, ISP, Radius, SAP, Oracle, Kronos and others), as well as 3rd party (e.g. TRACK, Fieldglass, ACORN, ARIBA, etc.) systems and procedures. Train staff to be proficient in these systems and procedures. Work with Regional Finance Managers and other finance team members to properly account for all activities (vendor purchase order resolution, unbilled accruals, discount/rebate accruals, Timecard reconciliation). - Assures customer satisfaction - timely and accurate responses to customer requests (pricing, invoicing, and reporting). - Assist in driving profit improvement - run profit and other KPI reports. Alert management and help resolve issues. - Assures all locations have proper administrative setup: Supplies, forms, printers, scanners and other basic office equipment. - Captures and documents best practices and develop ‘Toolkits’ and/or standard operating procedures for use in training of new Admins. This effort to include development of Video Training Modules for various systems. - Ability to go ‘on assignment’ to support Turnarounds as needed. - Validate and communicate Contract terms to Administrative personnel performing billing functions (i.e. contract provides for OT after 40 hours of work; monthly billing, net 60 day payment terms, etc.). - Other duties as assigned. - High school diploma and specialized training or 1 year college required. Bachelor's Degree Preferred; Alternative combinations of education, certifications, and experience may be accepted in lieu of degree. - 5-7 years’ relevant experience. - Microsoft Office tools - proficient in Microsoft Office Suite including Excel, Word, PowerPoint, Outlook + Calendar management. Special emphasis on proficiency with Excel, formulas, and pivot tables. - Proficient with WIN and CRM systems. - Experience with third party billing systems (TRACK, Field Glass, Ariba, Coupa, OpenInvoice and others. - Strong communication, leadership and problem solving skills. - Demonstrated understanding of finance and accounting terminology. - Working knowledge of contract terminology. - Understanding of industry terminology, a plus. - Must posses a Valid Canadian Passport or the ability to obtain one within 3 months of hire. - Must have a valid driver's license. - Ability to travel up to 30% **40-years of sustainability in action.
