The **part-time **Administrative Assistant for Regulatory Affairs will work up to 24 hours per week (over 3 to 4 days per week) in the office. There may be some opportunity to work a portion of this time from home.

This position will be up to a one-year contract term.

Reporting to the Director of Regulatory Affairs, the Assistant will assist the Regulatory Affairs team (Registration, Professional Development, Illegal Practice and Discipline) with a variety of tasks:
**Registration Support duties**
- Screen general phone inquiries related to registration and address those that can be easily handled.
- Open new registration files and maintain all filing.
- Archive, and/or destroy files as per the AAA’s File Retention and Destruction policy.
- Prepare Letters of Good Standing and Confirmations of Registration.
- Process requests for replacements of Seals/Certificates, as requested.
- Create, scan, copy, compile, and courier registration packages.
- Coordinate signatures from President and Registrar on practice certificates.
- Order new stamps and prepare mail-out to members.
- Coordinate the annual life member project. Create certificates, have them signed, and create letters.
- Coordinate and schedule interviews. Assist with all other preparatory tasks as required.
- Scan and copy documents, as required.
- Order registration supplies (such as folders, certificates) for registration team.
- Compile, organize and handle outgoing mail / courier for registration.
- Complete Leave of Absence transactions for registrants
- Process registration payments, fees and penalties
- Assist with other administrative duties, as assigned by the Director of Regulatory Affairs.

**Professional Development Support**
- Respond to general inquiries from course providers.
- Set up new course providers and process payments, where needed, and support the annual renewal process for course providers.
- Assist members with questions around AAA professional development events and mandatory courses and assist with questions regarding online records.
- Data entry of professional development records, including AAA events, AAA courses and Registered Course Provider events.
- Maintain professional development files, including membership files and course provider files.
- Handle Building Envelope Course book orders.
- Courier packages to non-compliant members, track deliveries and follow up with non-compliant members.

Assist the Illegal Practice Coordinator and Policy and Compliance Officer, as requested with general administration duties.

**Job Types**: Part-time, Casual

**Salary**: $21.00-$23.00 per hour
