Accounting/administrative Assistant

**Key Responsibilities**:
- Office Administrator:
- Keeping the office in shape by ordering all supplies needed.
- Answering all incoming calls and forwarding information accordingly.
- Greet all incoming visitors and essentially be the gatekeeper to the company.
- Light office cleaning and plant care.
- Accounting Data Entry and Reports:
- Update all created invoices for both accounts payable and receivable into the system.
- Mirror all transactions from the provided bank statements to entries and ensure a balance at the end of every month.
- Provide generated reports when requested and at the end of each month. Reports to be submitted at the end of each month are:
- Balance sheets
- Income statements
- All GL transactions
- Transactions by selected bank account
- Maintain and update all contact information.
- Accounts Payable:
- Process supplier invoices for payment, address any discrepancies, confirm invoice against internal purchase order
- Accounts Receivables Tracking and Follow Ups:
- Every week run a report on all invoices and make contact to clients that are outstanding.
- Carry out collection communication to any delinquent account holders
- Manage new and recurring rental contracts, initiate monthly invoices, track changes and process monthly payments. Be point of contact for customer inquiries and revisions
- Social Media / Blog Marketing:
- Create engaging posts on all 7 platforms as well as our website blog.
- Monitor all responses and forward accordingly.
- Marketing /Promotions/Sales:
- Promote our product and service through various marketing avenues.
- Industry relevant trade shows
- Control over marketing and promotional products
- Networking local events
- Phone promotion and lead generating, customer follow-ups
- Self starter and requires mínimal supervision
- Strong attention to detail
- Knowledge in bookkeeping, accounting, financial management
- Experience in administration and customer service
- High organizational skills and strong multi-tasking ability
- Ability to prioritize own workload and handle competing deadlines
- Strong communication skills, particularly via telephone
- Familiarity with marketing is an asset
- Knowledge of Shipping container industry/ Trades/Outdoor services is an asset (but not a necessity)
Hourly wage/salary will be based on experience.
