Under the direction and supervision of the Director of Human Resources, the Human Resources (HR) Assistant will assist with the day-to-day operations of the HR functions. This role will be responsible for a wide range of activities, including employee record-keeping, recruitment, and onboarding/offboarding.

**KEY RESPONSIBILITIES**

**Administration and Employee Record-Keeping**
- Monitor employee attendance, work hours, overtime, holiday pay, and other prescribed leaves in the employee database/HRIS.
- Engage with managers to verify time and attendance submissions, including, but not limited to, overtime, leaves, and payroll deductions, before they are submitted to payroll.
- Identify and resolve time and attendance discrepancies with the employee, manager, and payroll.
- Assist in preparing documentation for all payroll submissions, including the employee action form, payroll changes, address changes, etc.
- Ensure that appropriate authorizations, supporting documentation, and compliance with company policy and procedures are achieved.
- Verify all payroll registries to what was submitted for processing to ensure accurate information.
- Respond to all inquiries regarding employee time tracking, leaves, overtime, and holiday pay.
- Oversee the time and attendance tracking system, recommending changes, upgrades, or improvements to ensure optimum efficiency.
- Update, maintain and organize electronic and hard copy employee records.
- Monitor and update employee changes, including but not limited to banking changes, name changes, and salary changes.

**Recruitment**
- Follow up regularly with managers/directors regarding hiring needs.
- Revise and develop job descriptions in conjunction with hiring managers/directors.
- Advertise job postings on the AMC website and various platforms.
- Conduct screening of applicants and reference checks.
- Schedule interviews with qualified applicants.
- Prepare, attend and organize job fairs and other recruitment opportunities.

**Onboarding/Offboarding**
- Ensure offer letters/contracts are issued to new employees in a timely manner.
- Complete onboarding via HRIS before the employee begins employment.
- Provide first-day orientation to new employees, ensuring required paperwork is completed.
- Instruct employees on time, attendance protocols, and desktop/mobile HRIS system.
- Offboarding process as per HRIS.

Other duties as assigned.

**QUALIFICATIONS**
- Excellent organizational skills, time management skills, and attention to detail.
- Outstanding written and verbal communication skills.
- Proficiency in Microsoft Word, Excel, Outlook, Zoom, etc.
- Adept problem-solving, including proactively identifying issues and recommending resolutions in a timely manner while keeping all matters confidential.
- Knowledge of current employment laws and practices, as well as human rights legislation and provincial and federal legislation.
- Experience tracking time and attendance for a large organization is considered an asset.
- Experience working in Human Resources with First Nations or First Nations organizations.
- Knowledge of First Nation culture, history, and issues.

**EDUCATION & EXPERIENCE**
- Completion of post-secondary education focusing on Human Resources, Business Administration or a related field is required. A combination of equivalent education and experience may be considered.
- 2-3 years of HR administrative experience.
- Experience in the recruitment process, conducting reference checks and assisting with interviews.
- Demonstrated experience working with an HRIS or HRMS.
- Ability to work flexible hours.
- Satisfactory Criminal Record Check with Vulnerable Sector Search required.
- Child Abuse Registry Check required.
