Under the direction of the Director of Children and Families, the Scaabe (Helper) will support the First Nations Family Advocate Office by providing organizational and clerical support to meet the needs of First Nations families seeking advocacy support.
**KEY ACTIVITIES**:
- Assist with various administrative and clerical tasks.
- Assist with the coordination of meetings and help with the preparation of meeting packages, including but not limited to an agenda, briefings, and reports as requested.
- Ensure proper recordings are in place for meetings and draft comprehensive meeting minutes in a timely manner.
- Develop and maintain an effective physical and electronic filing system.
- Assist with responding to phone calls and requests for donations.
- Provide coverage for the Receptionist as needed.
- Assist with ongoing projects and events that may require added support.
- Oversee and manage all donation items by creating an inventory system and referral form to be used by the different streams of service within the office.
- Travel and make deliveries of donation items, food hampers, etc.
- Assist with supporting First Nations families in emergency housing situations as requested.
- Other duties as assigned.
**QUALIFICATIONS**:
- Strong organization and communication skills necessary.
- Knowledge of First Nations issues when navigating the Child Welfare system.
- Must be able to work well under pressure and meet deadlines.
- Problem-solving, critical thinking and organizational skills.
- Excellent verbal, written, and interpersonal communication skills.
- Proficient use of Microsoft Office software, Word, Excel and Outlook.
- Be able to follow office practices, procedures and confidentiality.
- Applicants are to provide their criminal records and child abuse registry checks.
- Be able to work flexible hours and be able to travel upon request; and
- Driver’s license and reliable vehicle.
