JLL's Retail Brokerage is actively seeking a high-performing Transaction Manager to join our dynamic team in the downtown Toronto office. In this key role, you will play a crucial part in the smooth operations of our day-to-day activities and transactions, providing essential administrative support to our brokerage team.
With your progressive experience in commercial real estate (CRE), we value your expertise to work closely with brokers, clients, and internal teams and to take the reins for the successful completion of transactions. With a keen eye for detail, we trust you to maintain accurate data and records while delivering an exceptional client experience. **WHAT YOU’LL BE DOING**:
**Transaction Support**:
Assist brokers in preparing and distributing marketing materials, property listings, and client presentations.
Facilitate the preparation and compilation of transaction-related documents, such as purchase agreements, lease agreements, proposals, and contracts.
Support due diligence processes, including gathering and organizing property-related documents and information.
Liaise with internal departments to ensure timely completion of required tasks and deliverables.
**Client Management**:
Assist with client reporting requirements, including the preparation of status updates, market research, and financial analysis.
Maintain confidentiality and adhere to compliance and company policies.
Track critical dates for conditional transactions, closing dates, accounts receivable, etc.
**Database and Administrative Support**:
Maintain and update property databases and CRM systems with accurate and relevant information.
Generate reports and support data entry, ensuring the integrity of data.
Monitor transaction status and deadlines, providing reminders and follow-ups to ensure timely completion.
Coordinate travel arrangements, expense reporting, and other administrative tasks as required.
Create, review, and/or prepare market surveys, tour books, or presentations.
Plan, coordinate, and/or facilitate client and broker events in collaboration with administrative assistants.
Proofread and edit applicable documents (e.g. quarterly reports, white papers, RFPs) as required.
Prepare and remit expenses accurately and timely (e.g. monthly Profit & Loss Reports, Broker Expenses, Training Expenses).
**Team Collaboration**:
Partner with Broker Lead to translate leadership's business objectives into strategies and execute those strategies.
Collaborate with brokers and other internal teams to ensure efficient workflow and effective communication.
Assist in coordinating team meetings, preparing agendas, and compiling meeting minutes.
Provide general administrative support to the brokerage team as needed.
**WHAT YOU BRING**:
Post secondary education in business, real estate, or related field (preferred).
3+ years of experience in commercial real estate
Real Estate license (or in progress) is considered an asset
Proven experience in transaction management and/or progressive roles within the commercial real estate industry.
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Proficient in Microsoft Office suite and CRM systems.
Ability to work independently and in a team environment.
Detail-oriented with a high level of accuracy.
Ability to multitask and prioritize tasks effectively.
Knowledge of real estate transaction processes and documentation.
Understanding of market research and financial analysis concepts.
Familiarity with relevant legal paperwork and compliance regulations.
Flexibility to adapt to changing priorities and deadlines.
Professional demeanor and ability to maintain confidentiality.
Willingness to travel as required.
