**Job Overview**

**Responsibilities**
- Greet and assist clients and visitors in a friendly and professional manner.
- Answer phone calls, directing inquiries to the appropriate personnel while maintaining excellent phone etiquette.
- Manage scheduling, including appointments and follow-ups for clients.
- Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
- Maintain organized filing systems for both physical and digital documents.
- Proofread documents for accuracy before distribution or filing.
- Support the administrative team with various tasks as needed to ensure smooth office operations.
- Preparing, editing, and proofreading correspondence
- Arranging discoveries, mediations, pre-trial, and settlement conferences
- Pre and post preparation for discoveries, mediations, and pre-trials
- Handling incoming mail
- Maintaining lawyer's calendar
- Drafting pleadings
- Managing files through all stages of the legal process
- Ensuring court filings are completed in an accurate and timely manner
- Requisitioning cheques for payment of invoices and court fees
- Assisting with intake calls from prospective clients

**Experience**
- Legal Certificate an asset but not required.
- Previous experience as a receptionist or legal administrative assistant is preferred, especially in a law or notary office setting.
- Strong organizational skills with the ability to multitask effectively.
- Excellent customer service skills with a focus on client satisfaction.
- Proficient in data entry and familiar with filing systems.
- Experience using Clio an advantageous
- Attention to detail is crucial for proofreading and maintaining accurate records.

Pay: $40,000.00-$55,000.00 per year

- Secondary School (preferred)

**Experience**:

- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
