ADMINISTRATIVE ASSISTANT

St. Paul’s Presbyterian Church in Mission B.C. is searching for an Administrative Assistant.

Working at the direction of the Minister, the Administrative Assistant fills a central role within the life of the church. Organizational responsibilities provide for the smoothly functioning schedule of weekly events which embodies congregational life.

The applicant will have to take or have recently taken a “Leading with Care and Healthy Boundaries” course, in accordance with the Presbyterian Church’s policy. He/She will also need to submit a current criminal record check and be legally entitled to work in Canada.

A. Preparation for Sunday Worship:
1. Prepare weekly bulletins, and mail out bulletins to shut-ins.

2. Create and prepare weekly PowerPoint Worship slides and announcement loops.

3. Manage and recruit volunteers for Scripture Readers, Children’s Story, and readers during Advent and Lent.

4. Design and prepare marketing material for bulletin inserts as directed by the Minister.

B. Office Duties:
1. Manage office supplies.

2. Maintain and order ministry supplies from the PCC (annual report covers, bible studies, bulletin inserts, etc)

3. Maintain a record of weekly church attendance.

5. Collect mail from mailbox.

7. Maintain church calendar.

8. Maintain and manage the Admin, Fire Safety, and Board Binders. This may include creating instructions for new equipment, documenting supplies, or the status of equipment.

9. Maintain a file management system on the computer.

10. Maintain database and church directory.

11. Compile, print, and distribute the annual report each January.

12. Maintain a list of contractors and maintenance personnel.

13. Manage keys and key distribution list. This includes adding/deleting codes on Security Panel.

14. Manage and maintain Criminal Record Checks, Covenant of Care, and Photo Release forms.

15. Liaison for Church building maintenance.

C. Church Interior Care:
1. Ensure church sanctuary is clear of debris, and chairs and tables are in their appropriate positions prior to Worship on Sundays.

2. Ensure the worship area is decorated for the appropriate season. This includes changing banners, table runner colour, as well as organizing a team to set up decorations for Advent and Lent.

3. Ensure the information table in the narthex is tidy and up to date.

4. Maintain communication boards in the church hall.

D. Community Presence:
1. Post events, news, and other pertinent information on the church’s website, Facebook account and Instagram account.

2. Create and update message on outdoor street sign weekly.

E. Manage Rentals of Church Facilities:
1. Liaison between user groups and church.

2. Gather initial data from user (type of rental, approximate number of people, services required).

3. Check the church calendar and get approval from Session and/or Board.

4. Set up time for user to view facility if required.

5. Prepare quotes and collect liability waivers as required.

6. Determine the church staffing requirements and work with the Board to solidify logistics of the rental.

7. Draft contract wording for Board approval.

8. Collect any deposits and fees and have documentation authorized.

9. Be available to answer questions.

1. The Administrative Assistant will be paid $21 per hour for 12 hours per week.

2. The Administrative Assistant will receive 3 weeks of vacation per year with an additional week granted for each five year term of employment up to a maximum of 4 weeks of vacation time.

Pay: $21.00 per hour

Expected hours: 12 per week
