The Toronto Institute for Reproductive Medicine Inc (TIRM). has been at the forefront of reproductive sciences for over 25 years.

Reporting to the Clinics’ Medical Director, with a dotted line to the VP of HR, the Clinic Operations Manager plays a critical role in the practice, by supporting the Medical Director and the organization’s leadership team and frontline employees.

The Clinic Operations Manager will need to utilize organizational knowledge of processes and critical thinking to lead and provide mentorship to new and ongoing projects and daily operations, both departmental and clinic-wide.

As the clinics’ Operations Manager, you will be required to develop and maintain relationships with the leadership team to provide operational and administrative support to promote the organizations growth plan including but not limited to providing policy, document, and facility management support. The Clinic Operations Manager will act as liaison between employees/leadership and the Medical Director. To be successful in this role, our Clinic Operations Manager must have excellent organizational and communication skills in order to ensure the clinic runs smoothly.

**Core Responsibilities**:
**Your Role**:
As Clinic Operations Manager you will:

- Manage operations, human resources and administration activities of the clinic.
- Develop staff in collaborative decision making and shared governance to ensure a shared voice in clinical care practice, exchange of ideas, enhanced communication, and continually improved clinical and patientcare outcomes.
- Develop a strong culture of teamwork to ensure the quality of daily operations.
- Collaborate and support cross functional teams in the implementation of new or changing policies and procedures and new programs.
- Determine staffing needs and plans and monitor performance of clinic.
- Work in partnership with other Leadership members to identify improved practice operations through the oversight and participation in projects.
- Introduce and maintain quality improvements to the clinic service delivery in accordance with best practices.

**Responsibilities**:
**_Leadership and Management_**
- Responsible for ensuring smooth operation of the clinic and maximizing patient satisfaction.
- In collaboration with the leadership team, ensure team members receive appropriate orientation, regular competency reviews, ongoing training, and professional development and maintain required licensing and certifications to fulfill applicable standards or regulations.
- Promote team development in a cohesive, positive, and professional manner.
- Provide direct feedback and support to team members as appropriate.
- Implement and encourage staff participation in quality improvement and safety initiatives.
- Act as a role model by demonstrating clinical management expertise.

**_Patient Care_**
- In collaboration with all appropriate team members, lead the design, implementation and monitoring of patient care and processes and procedures to ensure smooth operation of the clinic using in depth knowledge of patient care delivery systems including but not limited to: Standards of Practice, Clinical Pathways, Medical Directives and Policies and Procedures
- Ensure appropriate systems and resources are in place to support timely and appropriate patient flow and smooth transition and coordination of patient services across the continuum of care as applied to the services of the clinic.
- Display a patient comes first attitude by training and holding the team accountable for delivering optimal patient-centric care and aligning treatment planning and delivery with needs of each patient.
- Ensure organizational and mandated regulatory protocols are followed, standards are met, and team members are trained to provide the patients with the best care and experience.
- Ensure patient complaints and concerns are dealt with promptly and formally reported.
- Collaborate with team members and physicians to develop the clinic schedule.
- Ensure processes are in place to promote holistic approaches that assess patients’ medical, functional, cultural, emotional and psycho-social needs.
- **Human Resources**_
- Responsible for monitoring workload data and patient volumes/patient activity and working with the Medical Director and head office Human Resources to ensure appropriate staffing levels.
- Participate in the recruitment and onboarding of new hires
- Manage and prepare necessary documentation (promotions, transfers, relocations, leaves, terminations, etc.) advising payroll and updating HRIS system accordingly.
- Responsible for facilitating performance management review processes which includes coaching, performance feedback, and helping staff set and meet their professional goals and objectives.
- Identify, investigate, document and report performance/practice concerns and issues.
