Human Resources Manager

**ROLE PURPOSE**:
Reporting to the Chief Executive Officer (CEO), the Human Resources Manager will perform a range of Human Resources related duties that include assisting with ensuring the overall administration, coordination and evaluation of the Tsain-Ko Group of Companies' Human Resources plans and programs. The HR Manager will be called upon to handle employee-related services, ensure regulatory compliance, recruitment, human resources planning, HR policy & practice and training & development.
**GENERAL DUTIES AND TASKS**
**HR Administration and Policy Administration**
- Develop and maintain strong relationships with managers, staff and external service providers related to human resources programs;
- Maintain and update all employee files, ensuring all files are kept confidential in keeping with the privacy and other legislation;
- Complete all hire, change and separation paperwork;
- Maintain and update all job descriptions and keeps a database of all job descriptions; work with managers to ensure job descriptions are updated;
- Interpret policies and provide related assistance and advice to managers and staff;
- Research, recommend and update policies to reflect the Tsain-Ko’s mission, mandate and culture as requested or needed;
- File correspondence and other records according to best practices and/or as required;
- Carry out confidential filing, data input and maintenance of accurate, up-to-date Human Resources filing systems and comprehensive personnel records;
- Draft various forms, letters and reports as necessary;
- Fax, photocopy and scan documents as required;
- Locate filed materials upon request, ensuring the confidentiality of materials requested by authorized parties;
- Add new materials to existing files and records and create new files, as required;
- Eliminate unnecessary or outdated materials, destroying them or transferring them to inactive storage according to file maintenance and legislative requirements;
- Schedule meetings, attend meetings and take minutes as required.
**Employee Relations**
- Provide coaching, advice and assistance on HR matters to all employees and managers as required;
- Recommend policy and process changes that will improve staff morale, satisfaction and engagement;
- Assist in the investigation of employee relations issues (employee complaints and harassment allegations) in accordance with all legal requirements;
- Where a Collective Agreement exists, assist and investigate all HR matters accordingly.
**Recruitment**
- Assist with the development of job descriptions in concert with the relevant manager;
- Assist with the designing and placing of job advertisements;
- Provide support in the selection of new recruits;
- Assist with providing guidance, coaching, training, and reference information/materials to hiring managers in preparation for applicant interviews (e.g. interview questionnaire, etc.);
- Assist with preparing employee contracts and letters of offer;
- Communicate with the hiring department and other personnel around the letter(s) of appointment, start date, induction etc.
**Orientation and Training**
- Assist with recommending and developing orientation and training programs to develop employee skills and improve productivity;
- Participate in the orientation of new recruits;
- Follow-up with managers to ensure proper orientation and training is provided;
- Keep track of orientation and training programs attended by staff;
- Assist with designing and deploying training programs to staff through various mediums, including online.
**Performance Management**
- Ensure probationary and periodic performance reviews are conducted by managers;
- Assist with any resources and training to managers around effective performance reviews;
- Keep track of all completed performance reviews.
**Adaptability**
- Assist with special HR projects as required;
- In the absence of the Health and Safety Coordinator, provides the first point of contact coverage and support for the department and provide other backup coverage as required;
- Personal willingness and ability to work in and adapt to change.
**Interpersonal**
- Maintain and present a positive and professional image at all times;
- Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines;
- Must be able to handle sensitive information in a completely confidential manner.
**Other Duties**
- Actively search for and participate in relevant professional development activities to improve knowledge and skills, at the discretion of the CEO;
- Other related duties, special assignments or project-based work as requested by the CEO.
