- You will be responsible for providing coordinator assistance to the Governance & Support [Ontario] team. Complete receiving of capital and operating expenditures of various projects for Network Delivery & Network Expansion depts. In addition, for the coordination of various processes in liaison with the Ontario One Call, Locate Service Providers, Finance, and Accounting Departments.
- KEY RESPONSIBILITIES- Daily invoice receiving and continually monitoring for approved project invoices via inbox / SWAT tasks for Supplier invoices to meet KPI’s.-
- Improper invoices will require your guidance with steps for corrections. Forward the invoices to the responsible staff for adjustments. Enter all details on the invoice tracking sheet or in the corresponding task.-
- Perform follow-up calls on outstanding or rejected invoices.-
- Complete invoice validations and monitor inbox, when required during staff vacations.-
- Create annual locate cost forecasting & monthly Locate PO’s in Workday-
- Manage the locate invoicing, receiving & tracking.-
- Manage the locate backup data and Executive Dashboard in Google Studio.-
- Bi-annually attend the Network Delivery Regional team meetings to provide feedback on invoicing stats and reinforce the invoicing process.-
- Provide support to the Governance and Support team, Network Delivery Coordinators, and Network Expansion Coordinators, as required..-
- Prepare and enter project information into Workday. Create purchase requisitions and internal requisitions. Track expenditures for projects with under/over budget expenditures.-
- Assist in the preparation and tracking of the capital project budgets.-
- Remedy searches for ticket detail investigations.-
- Create and issue signed Alternate Locate Agreements (ALA) for our business partners- ESSENTIAL QUALIFICATIONS
- ACADEMIC TRAINING-
- College Diploma or combination or equivalent education and experienceWORK EXPERIENCE-
- 3+ years experience preferably in a similar administrative environment-
- 3+ years experience working with Oracle/Workday with respect to accounts payable, PR creation, requisition searches, invoice receiving, and project tracking.-
- Understanding of Construction/Installation/Service/Repairs workflow would be an asset.- SPECIFIC COMPETENCIES-
- Advanced PC skills including the ability to work proficiently in MS Word, Excel, and Google Suite (incl Google Studio).-
- Knowledge of the Remedy Ticket Management System is an asset.-
- Knowledge of the Workday Financial system is required.-
- Knowledge of general accounting principles and practices.-
- Strong attention to detail with solid problem solving, and analytical skills are required.-
- Exceptional organization skills and adaptability to working with conflicting priorities, deadlines, and changing workflows in a fast-paced environment are required.-
- Solid interpersonal skills with a winning customer service attitude and a high level of professionalism when dealing with problems and complaints from internal or external customers.-
- Self-motivated with the ability to take initiative in identifying and resolving problems independently.-
