POSITION: Administration Assistant, Huron Perth & Area Ontario Health Team

REPORTS TO: Director, Huron Perth & Area Ontario Health Team

DATE REQUIRED: As soon as possible

JOB SUMMARY:
The Administration Assistant is a member of the OHT Secretariat and responsible for administration functions within the Huron Perth & Area Ontario Health Team (HPA OHT).

This role works closely with many different Huron, Perth & Area OHT members, patient partners, physicians and the Secretariat team.

A highly trusted support to the OHT Director by coordinating several monthly meetings (virtual and some in-person), reviewing content for consistency to brand, attending meetings to scribe notes and creating meeting notes, maintaining contact and distribution lists, coordinating invoicing and payment with Finance department, supporting OHT communications and reporting and supporting human resource administration.

QUALIFICATIONS:

- Undergraduate degree from an accredited University preferred, or College Health or Business program or equivalent,
- Additional courses in communications, word-processing, spreadsheet

**REQUIREMENTS**:

- Minimum five years recent, related and progressive experience in a demanding, highly computerized, office environment

SKILLS/ABILITIES:
Abilities:

- High degree of professionalism and relationship building skills
- Ability to work under pressure and competing deadlines
- Ability to work independently with highly developed problem-solving skills.
- Ability to work in an environment with confidential information.
- Excellent computer skills: proficient in MS Office and Teams and Zoom, as well as ability to develop, fully utilize and maintain databases.
- Ability to operate audio-visual equipment such as projectors, computers, teleconferencing and videoconferencing equipment, digital cameras and video cameras, lettering system, photocopier, etc.
- Ability to input large volumes of data with a high degree of accuracy.
- Highly developed ability to organize and prioritize a constantly changing workload.
- Excellent interpersonal, verbal, written and listening skills.
- Excellent note taking
- Ability to interact on a professional basis with a variety of internal and external contacts.
- Valid Ontario Driver’s License with access to own vehicle. Travel is required throughout Huron-Perth region with occasional travel to major centres.
- Availability to work two evenings per month to attend virtual meetings to scribe notes

Physical Demands:

- Frequent interruptions and deadline pressures
- Ability to juggle the competing demands of providing support to more than one person.
- Office Environment - lengthy periods of sitting with occasional walking/standing
