Administrative Assistant and Receptionist

With 6 locations - Durham, Peel, Peterborough, Simcoe County, Toronto, and York - Refined Restoration Group Ltd. provides quality restoration and renovation services to residential and commercial property owners throughout the GTA and surrounding areas of Ontario.
Our service team takes pride in providing property owners, management offices, and insurance company contacts with all the necessary staff members and industry recognized equipment required to complete any task, large or small, in a safe, professional, and economic manner.
Our newest location in location in Durham is looking for team members to grow with us.
**Job Duties and Responsibilities**:
Reception
Answer all incoming phone calls within two (2) rings, using a professional and courteous manner.
Monitor calls on hold as required.
Direct phone inquiries to the appropriate staff members.
Reply to general information requests with accurate information.
Greet all visitors to the organization in a professional and friendly manner.
General housekeeping.
Office Administration
Receive all forms of mail, open, date stamp, identify with job numbers, sort and disburse to appropriate person. Prepare all outgoing mail.
Prepare and request flooring and siding validations and record in file management and file management system(s).
Order, receive and store the office supplies ensuring that basic supplies are always available.
General data entry duties and support for paperwork for governing bodies.
Intake new claims by all means received, create new job in software programs, new claim information and update computer software programs with status.
Ensure receipts/invoices are marked with job information and approved for data entry.
Provide secretarial and administrative support to management and other staff.
General office duties including filing as required.
Nightly closing duties including answering machine activation, alarm system activation, etc.
**Qualifications**:
- Education and/or Training _
High School Diploma
Post secondary education in business, computers or office management is an asset
- Knowledge, Skills and Abilities_
Excellent command of the English language
Good communication, organization, and problem-solving skills
People skills - must be able to remain calm and resolve difficult situations
Knowledge of provincial legislation on Occupational Health and Safety, and Human Rights

Ensure own behaviour and the behaviour of others is consistent with ethical standards and aligns with the values of Refined Restoration Group.
Establish and maintain positive working relationships with others both internally and externally.
Speak, listen, and write in a clear, thorough, and timely manner using appropriate and effective communication tools and techniques.
Understand and respond to the needs of internal and external clients to meet or exceed their expectations within Refined Restoration Group parameters.
Work cooperatively and effectively with others.
**Other Requirements**:One to three years in an office environment.
**Salary**: $16.00-$20.00 per hour
Schedule:
- 8 hour shift
