Administrative Assistant/receptionist

**THE COMPANY**
Paul Davis Windsor-Essex is seeking a highly motivated, results oriented individual to join our team as Administrative Assistant/Receptionist.
**1. Main**
- Acts as first point of contact at reception and assists callers to determine needs while providing excellent customer service.
- Delegates new assignments, creates job files and enters the information in various software.
- Issues invoices.
- Upload material samples for validation.
- Administers Equipment Tracking entries and ensures the accuracy of the Customer Responsibility Forms.
- Updates Paul Davis Call Routing and local Adjusters with on-call changes each week.
- Assist in job closings.
- Administers office supplies.
- Plans work priorities and assist in all administrative functions of the office.
- Administers and maintains all filing systems in the office.
- Opens and distributes mail in a timely manner.
- Maintains good customer relations to resolve issues and concerns in a timely manner.
- Handles filing, typing, record keeping, etc.
- Participate in (Catastrophic)CAT program.
- Other duties as assigned.
**2. Physical Abilities/Requirements**:
- A combination of sitting and standing for prolonged periods of time.
- Able to use a computer or other electronic devices (apps, programs, and devices) for a prolonged period of time.
- Physically able to lift approximately 50lbs.
**3. Additional Requirements**:
- Analytical, detail oriented, decisive, problem solver, hands on and team player.
- Customer service orientated with the ability to deal with customers under stressful situations.
- Organizational skills, able to set priorities and work independently with limited supervision.
- Flexibility to deal with unpredictable demand.
- Able to quickly adapt to changes in a fast-paced industry.
**4. Knowledge and Skills**:
- Strong communication skills, both written and verbal.
- Proficiency in MS Office (Excel, Word and Outlook).
**5. Education and Experience**:
- College Diploma in Business Administration or related areas.
- 2 years previous office experience dealing with accounts receivable are an asset
**Hours of Work**
Monday to Friday 9:00am
- 5:00pm
with 1/2 hour unpaid lunch
Benefits available after successfully passing the 6 months probational period.
**Job Types**: Full-time, Permanent
Pay: $20.00-$23.00 per hour
Expected hours: No less than 40 per week

- AEC / DEP or Skilled Trade Certificate (preferred)

- Front desk: 1 year (required)
