We support our North American clients from our locations in Toronto, Windsor, and Calgary, and ensure timely project delivery with our global manufacturing facilities.
We are currently looking for Project Coordinator to support us with the following:
As Working at Polar Racking Inc will expose individuals to a fast-paced work environment. Being an exponentially growing smaller company means you can wear multiple hats and get firsthand experience on our solar racking product lines of Single Axis Tracker, Fixed Tilt, Carport and Agrivoltaic.
Principle Responsibilities/Key Results Areas
- Responsible for project coordination, support the launch and execution of multiple contracted projects and coordination of new projects under development.
- Assist the project managers with administrative functions and processes, and day-to-day activities.
- Assist in developing and managing project schedules with engineering and supply chain teams and communicate project status to stakeholders, upper management and customers.
- Ensure documentation is maintained throughout the length of the project lifecycle.
- Coordinates with purchasing, quality and engineering to assist in the resolution of customer-related issues.
- Use company software to maintain up to date status of budgets, invoicing, site pictures, commitments, safety inspections, etc.
- Support issuing purchase orders, maintain their status and shipping tracking information for multiple projects.
- Establish and maintain positive relationships and ongoing communications with all relevant stakeholders and vendors.
- Communicate plans, actions, risks, and issues with key stakeholders.
- Review engineering drawings to ensure all the customer requirements are captured.
- Assist in root cause analyze failures and setup preventing measures.
- Assist in developing new internal standards.
- Represent Polar Racking in stakeholder meetings throughout the length of the project lifecycle.
- Supporting other operation staff, including subcontractors and construction managers.
- Work closely with the Sales team during pre-contract phases
- Work closely with the Supply Chain, Engineering and Accounting teams
**Requirements**:
Knowledge & Skills
- General knowledge of project phases, preferably at a commercial and utility scale.
- Self-starter, highly organized, resourceful, and comfortable working in an entrepreneurial environment.
- Detail-oriented with a strong sense of personal responsibility and ownership of work products.
- High degree of effectiveness working in a collaborative and open culture of cross-functional teams.
- Proficient in MS Office suite, data management, and reporting.
- Plus if experienced with drawing software tools, such as AutoCAD.
- Strong communication, presentation, and negotiation skills.
- Ability to develop and maintain strong relationships with external vendors
- Ability to simply summarize, manage, and solve issues and report to senior management.
- Ability to prioritize tasks and juggle competing deadlines effectively.
- Understanding of all aspects of the project, including procurement, engineering, technical competence, and schedule to achieve project success.
- Ability to effectively coordinate and handle, under pressure, multiple tasks with a high degree of independence and professional judgment to meet or beat project key performance indicators.
- Demonstrated ability to read, interpret, and manage construction documents, specifications, bids, and recommend changes or additions.
- Travel required: ~10%
Experience & Education
- 2-year technical degree minimum - Engineering, Project Administration, Project Management, Construction Management, Manufacturing etc.
- 4-year degree preferred, but not required.
- 1-3 years of experience as a project coordinator in construction projects.
- Proven track record in successful management of construction projects.
- Procurement experience is a plus.
- Structural and/or Mechanical engineering knowledge is a plus
- Construction project management of Commercial and Industrial renewable energy projects a plus.
- Project management certifications are an asset but not required (i.e. PMP or similar).
- Experience working with clients in a rapidly evolving environment and developing creative solutions to meet conflicting needs.
