**Position Summary**:
CMI Solar Inc. is seeking a dedicated and detail-oriented Permit Coordinator to support our Project Management department in the residential and commercial solar energy sector. The Permit Coordinator will play a critical role in managing project-related documentation, facilitating effective communication with internal and external stakeholders, and ensuring the timely processing of permits and approvals. This position will report directly to the Project Coordinator and Senior Project Manager.
**Responsibilities**:
Documentation and File Management:
- Maintain precise and organized project documentation in Zoho CRM and Zoho Projects.
- Ensure adherence to standard folder structures and system nomenclature.
- Track and update project status and assigned tasks regularly.
Permit and Application Coordination:
Stakeholder Communication:
- Serve as the primary point of contact between the project management team, customers, and hydro companies for project-related communications.
- Facilitate scheduling of power shutdowns, ESA inspections, and installation schedules.
- Provide customers with timely updates and ensure all documentation, including ESA documents and installation photos, is delivered accurately.
Financial and Administrative Support:
- Coordinate customer approvals for final designs, maintain clear communication regarding project expenditures, and submit invoices for permits.
- Assist with project site visits and provide support in staging materials for installation when necessary.
Project Oversight:
- Monitor and ensure project timelines are met, addressing any issues or alerts through the monitoring system.
- Attend weekly sales meetings and contribute to resource allocation and project prioritization to optimize workflow.
Additional Duties:
- Assist in other project management and administrative tasks as required.
**Qualifications**
**Experience**
- Minimum of 2 years of experience in a project coordination, permit coordination, or similar role, ideally within the construction, renewable energy, or utilities sectors.
- Strong understanding of the solar energy industry, particularly residential and commercial solar installations in Ontario.
- Working experience with Zoho CRM, Zoho Projects, or similar project management and customer relationship management systems.
**Education**
- Post-secondary diploma or degree in project management, renewable energy, or a related field
- _**Knowledge of Ontario's regulations and permitting processes is an asset.**_
**Skills and Knowledge**
- Excellent organizational skills with strong attention to detail and accuracy in document management.
- Effective verbal and written communication skills, particularly in managing customer relationships and coordinating with external stakeholders
- Ability to prioritize tasks and manage multiple projects simultaneously while adhering to deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software.
- Problem-solving skills with the ability to adapt to changing priorities and project needs.
