Learner Support Services Coordinator

The Program Coordinator Learner Support Services reports directly to the Director, Learner Support Services. This position performs complex administrative duties which support the health and financial wellness of all NOSM University learners through the office of Learner Support Services Office. The Learner Support Services Coordinator assists the LSS Office in health and financial wellness coordination, planning, information management, communication, and project development; and supports the overall LSS mandate in various cross-program initiatives including the development of the virtual health and wellness hub resources and supporting the financial aid needs of the learners at NOSM University on the Sudbury Campus.
This position acts as a primary contact and liaison for NOSM University learners, administration, faculty, and community partners who are involved with learner health and wellness. It also acts as a conduit for information flowing to, from, and within the virtual health and wellness hub which aims to provide learners and residents with access to services and programming throughout NOSM University’s distributed learning environment. This position acts as the first point of contact for the virtual health and wellness hub. The LSS Coordinator, Learner Support Services Office is responsible for the coordination of the virtual health and wellness hub, collects relevant information in a respectful and confidential manner, and triages and redirects learner concerns to the appropriate supports.
This position is covered by the Terms and Conditions of the OPSEU Unit 677 Collective Agreement (Unit 2). A copy is available on the NOSM University website.
**Responsibilities**:
Tasks may include but are not limited to the following:
- Working collaboratively with various stakeholders, the Coordinator researches, selects, and coordinates health and wellness resources in the various communities located in NOSM University’s distributed learning environment (i.e. counsellors, dieticians, doctors, etc.).
- Responsible for the administration, coordination, and communication of the virtual health and wellness hub, including connecting learners and residents to the most effective resources to improve their well-being
- Coordinates, participates on, and supports various committees, subcommittees, and working groups; and at times, may represent the LSS team in various activities as delegated. This includes support activities that result in effective, well-documented meetings, tracked action items and follow up.
- Works closely with the Director, Learner Support Services to draft project plans and carry out special projects relating to the virtual health and wellness hub.
- Resolves administrative problems by analyzing information, identifying, and communicating solutions to stakeholders.
- Maintains administrative workflow by following processes, coordinating tasks within the process, and continuing the workflow to completion.
- Stores and updates databases with relevant information.
- Provides information by answering questions and requests from stakeholders.
- Maintains continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs.
- Accomplishes unit and organization mission by creating reports and communicating results back.
- Develops and disseminates internal/external communication for the virtual health and wellness hub. Drafts correspondence, prepares reports and meeting packages, maintains databases, organizes events (e.g., coordinates meetings).
- Works collaboratively with the Director, Learner Support Services to ensure that the tasks, accountabilities and responsibilities listed below in the areas of financial assistance are met for all NOSM University Learners.
- Assists in the administration of government learner aid programs (e.g., OSAP) including responding to learner questions.
- Provides sound advice regarding financial options to all NOSM University Learners, including one-on-one consultations. Understands and applies the relevant regulations and policies regarding the protection of private and confidential learner information.
- Evaluates the eligibility of individual NOSM University Learners for emergency financial assistance and for the possible deferment of student fees as per approved policy.
- Acts as a role model of the organization’s values in daily work activities.
- Performs other duties as assigned.
**Qualifications**:
**Education**:
- A University degree in a related discipline (e.g., Nursing, Education, Social Work or Psychology degrees, or advanced degrees in these disciplines, would be considered an asset). from a recognized university with Canadian accreditation or an equivalent combination of education and experience is required.
**Knowledge, Skills and Abilities**:
- Minimum of three (3) years of related experience is required
