**Location**
**Position Overview**
This position is responsible for providing confidential administrative support to the Chief Financial Officer and other sections of the department. Provides assistance for financial aspects of community building and development and administrative support to the corporate budget preparation and related communication/information sharing processes.
**Responsibilities**
The Administrative Assistant is responsible to:

- Provide full range of administrative support to the Chief Financial Officer as well as Financial Planning Services and Taxation sections. This includes preparing correspondence and confidential items, answering and screening phone calls, making travel and conference arrangements and finalizing reports for Committee and Council.
- Keep records and files, including sensitive and confidential documents, specific to the department.
- Provide administrative support in the community building and development area, including maintenance of letters of credit, cash securities, insurance policies and inspection deposits, and using the letters of credit module in AMANDA.
- Responsible for training other staff and providing assistance in updates to the letters of credit AMANDA module.
- Assist in budget preparation by providing training and advice to city administrative staff on the publication and presentation of budget documents.
- Arrange budget training and co-ordinate the consolidation of budget documents from departments and local boards.
- Provide back-up assistance/coverage to the administrative staff within the Department and is a member of the Administrative Assistants Committee.
- Provide customer service to members of City Council, staff, and the public on behalf of the Chief Financial Officer, manager(s) and staff of the Finance Department.
- Respond to development charge and property taxation general inquiries.
- In the absence of the Chief Financial Officer, ensures that matters of an urgent nature are dealt with by the appropriate staff.
- Co-ordinate the flow of reports from the Department destined for Senior Management and Standing Committees of Council and prepares information for the Chief Financial Officer and manager(s) for attending meetings.
- Participate in special assignments as determined by the Chief Financial Officer.
- Monitor and order office supplies for the department.
- Responsible for central filing in the department and co-ordinating department records retention as per the by-law. Maintains petty cash for the department. Coordinates corporate visa statements for the department

**Requirements**:
The successful applicant will be a High School graduate, with specialized Business School training in administration and possess five (5) years administrative support, including three (3) years in a senior administrative position. Strong organizational and time management skills are also required.
