We are a growing, multidisciplinary services group composed of a law firm, advisory firm, and media company. To support our continued growth, we are seeking a highly organized, proactive, and adaptable **Personal Assistant & Administrator** to work directly supporting our CEO. This role is a unique opportunity for someone who thrives in a fast-paced environment and enjoys enabling our CEO to operate at their highest level.

As the CEO’s trusted Assistant, you will play a critical role in managing day-to-day operations, streamlining communications, and ensuring both professional and personal tasks are executed seamlessly. From overseeing administrative responsibilities to anticipating needs and solving problems before they arise, you will be instrumental in driving efficiency, maintaining organization, and helping the CEO focus on strategic priorities.

**Department**: Executive Operations

**Compensation**: $50,000 - $55,000/year

**Reports to**: CEO (Personal Assistant) & Operations Manager (Administration and day-to-day)

**What You’ll Do**

The Personal Assistant & Administrator will provide comprehensive support to the firm owner with a focus on personal administrative support, such as:

- Provide proactive support to the CEO’s day-to-day
- Being present to support the CEO in the office and at offsite meetings, events, or engagements
- Liaise with internal teams, clients, and external contacts on behalf of the executive
- Keeping excellent track of the CEO’s calendar, both professional and personal, and ensuring all details are in order
- Attending meetings, taking notes or minutes as requested, and ensuring meeting details are taken care of (beverages, food, and documents etc.)
- Coordinate travel arrangements, including flights, accommodations, transportation, and itineraries
- Prepare documents, presentations, reports, and other materials as required
- Managing confidential records, including retention and secure destruction
- Provide general administrative support to ensure smooth daily operations
- Assist with personal and professional errands, reservations, and other day-to-day tasks

**Administrative Support**:

- Assisting with office operations, including scheduling, file management, and general administrative processes
- Supporting the Operations Manager with office management tasks, events etc.
- Helping maintain and improve administrative procedures and workflows
- Performing other administrative or office-related responsibilities as needed

**What You Bring**
- Proven experience - 1+ years in a professional administrative or personal assistant role, or equivalent education
- Comfort in a dynamic environment, you thrive in fast-paced entrepreneurial setting and are able to work at various locations and after hours as needed
- Strong interpersonal and communication skills, you connect easily with people at all levels
- A solutions-oriented mindset, you anticipate challenges and act proactively
- Excellent organization and time management, you juggle multiple priorities with ease
