**Position Title**:Administrative Assistant
**Reports to**:Office Manager/Accountant

**POSITION OBJECTIVE**

Arbutus Ridge Golf Club is seeking an Administrative Assistant team member for a full time in-office role. This position works with all department managers, to assure each department is functioning as one. Ensure each guest received consistent services and products. Wages to be determined based on experience.

**DUTIES & RESPONSIBILITIES**

▪ Answering telephone promptly in a courteous and professional manner

▪ Complying daily cash outs from each department and closing off the day

▪ Create reports, lists, letters, memos, meeting agendas and other computer projects

▪ Creating, printing and tracking gift certificates

▪ Maintaining a current and up to date inventory of stationary supplies as well as all ordering of office supplies for all departments

▪ Helping with month end duties

▪ Create member, public, team member, etc. e-newsletter’s

▪ Create monthly Ridge Talk articles and ads

▪ Creating job postings, posting on Indeed, Usedcowichan, Usedvictoria and Website

▪ Creating menu, syllabus, cart plates, flyers, rack cards, brochures, table talker, etc

▪ Communicating with our 3rd party designer on packages, etc

▪ Performing general administration duties

▪ Assisting all department with clerical assistance and support

▪ Overseeing and communicating with our 3rd party IT Company

▪ Taking member payments, new & existing inquires on memberships

▪ Filing accounts receivable and payable

▪ Creating member fixture calendar, business cards, flex passes & member cards

▪ Handling all archive files and other sensitive files

▪ Sending out manager schedule

▪ Keeping all departments organized and make sure deadlines are dealt with

▪ Helping with Team Member events and sign up

▪ Maintain and update the Arbutus Ridge App

▪ Monitor reviews and Tripadvisor and Google+ Accounts up to date

**REQUIRED QUALIFICATIONS & KNOWLEDGE**

▪ Understanding of the golf club environment, asset but not required

▪ Background in tourism & hospitality industry, asset but not required

▪ Intermediate knowledge of Microsoft Office 365 and Adobe Acrobat

▪ Knowledge in computer hardware and software

▪ Must be able to meet deadlines as required

▪ Work efficiently in a non-supervised position

▪ Trustworthy, flexible, and adaptably

▪ Knowledge or willing to learn all aspects of our POS to assist all departments

▪ Distributing credit books to all winners from inhouse events

▪ Helping departments with outside advertising and events, ex: Dine Cowichan and Tourism Cowichan

**ABILITIES & WORK CHARACTERISTICS**

▪ Quick evaluation & decision making

▪ Strong comprehension of English language

▪ Strong public relations & human resource skills

▪ Keyboard & word processing abilities

▪ Work efficiently in a non-supervised position

▪ Primarily inside work within an office environment with some outside work required

▪ Will be required to work on a shift basis, including the odd weekends or evenings

▪ Must be able to lift 20 lbs. (Bank Boxes)

▪ Demonstrated ability to work well in a team environment

▪ Time management with ability to multi-task & prioritize projects

▪ Able to work in a fast paced, deadline orientated work environment and be able to maintain organization

▪ Valid driver’s license and own vehicle

Pay: $20.00-$26.50 per hour
