Administrative Coordinator
**Description:
- Permanent Full Time- The administrative coordinator role is responsible for the day to day operations of the Head Office Medical Consulting team including referral workflow management, data entry of referral details, invoicing, and holding the medical consultants accountable to completing work within service targets while following policies and procedures.- The Head Office Medical Consulting team provides critical support to Workplace Solutions including disability, life, medical, underwriting, out of country and critical illness. The support provided by the medical consultants is time sensitive to the business areas and directly affects customer service.**What you will do**
- Provides a bridge for smooth communication between the medical consultants and internal departments within Workplace Solutions
- Maintain monthly medical consultant schedules to meet operational requirements
- Monitor shared in-boxes and direct workflow to medical consultants
- Prioritizing work ensuring that all lines of business are delt with efficiently by all medical consultants
- Data entry to track workflow and produce reporting
- Coordinate, prepare and submit invoices for the medical consultants, association dues/ fees, and subscriptions
- Maintain medical consultant contracts on Ariba as well as supporting the on-boarding and off-boarding processes
- Solicits quality input from the Disability Management Services Office on medical consultants for the purpose of ongoing performance feedback
- Maintain confidentiality and discretion
- Create and maintain support documents for the medical consulting team
- Ad-hoc duties and projects as required
**What you will bring**
- Strong and effective organizational and time management skills with the ability to manage multiple priorities
- Ability to remain flexible, work as part of a team as well as independently
- Effective oral and written communication skills
- Proficient in using Microsoft (Outlook, Word, Excel) and posessess the aptitude for learning additional industry-related software
- Critical thinking and problem-solving abilities
- The base salary for this position is between **$37,300.00****:
- $50,400.00** annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
