Job Summary
- This position provides education, engagement, marketing and administrative support to the Associate Director, Sustainability and Community Programs, and assists with designing, developing, coordinating, promoting and delivering nature-based programming for K-12 school groups at UBC Botanical Garden (UBCBG). The position is funded through a 3-year donor project and works full-time Monday to Friday.

Organizational Status
- UBC Botanical Garden is an operational unit within the Faculty of Science. The Mission of the Garden is to assemble, curate, and maintain a documented living collection of temperate plants for the purposes of education, research, conservation, community outreach, and public display. Our Vision is that plants are understood, valued, celebrated, and secure in a healthy, biodiverse world.

The Schools Community Outreach Coordinator is a part of the Sustainability and Community Programs team and supports our school programming. This position interacts primarily with K-12 staff and student audiences, both on and off campus, including training and mentoring UBC Botanical Garden students and volunteers. Reporting directly to the Associate Director (AD), Sustainability and Community Programs, this position works cooperatively as a member of the Garden team and assists with the coordination, administration and growth of school programming at the Garden.

Work Performed
- School Community & Event Outreach
- Assists in documenting K-12 school engagement activities and supports the Associate Director in drafting plans for educational outreach.
- Coordinates logístical arrangements for in-person and online meetings, workshops, events, and tours under the guidance of senior staff.
- Prepares and sets up facilities and materials for educational programs and events as directed.
- Supports the recruitment and scheduling of educational instructors, lecturers, tour guides, and student volunteers based on direction from the Associate Director.
- Collaborates with community partners to grow school programs through identifying funding opportunities and areas for expansion.

Client Support and Customer Service
- Assists with administrative tasks related to curriculum development, such as formatting and organizing learning materials
- Helps maintain and organize educational resources, ensuring materials are accurate and in good condition.
- Supports grant writing efforts and donor stewardship by compiling background information and preparing drafts as directed by the Associate Director.
- Program Development and Curriculum
- Assists with collecting and entering program evaluation data into tracking systems.
- Supports the preparation of reports by gathering data and formatting presentations under the guidance of senior staff.
- Marketing and Communications
- Assists in developing promotional materials by providing clerical support, such as proofreading and formatting.
- Updates the Garden’s website and online materials as directed by the Marketing and Communication team.
- Coordinates communication with potential educational program clients by sharing pre-approved information and materials.
- Performs other related duties as requested by the Associate Director, Sustainability and Community Programs.

Consequence of Error/Judgement
- Error in judgment or information given would result in loss of credibility and service to the visitors, educators and schools that participate in garden events and programs. Inability to budget accurately would result in inaccurate financial assessments. Lack of customer service skills would impact the overall experience of the Garden visitor.

- This position works under the supervision of the Associate Director, Sustainability and Community Programs, UBC Botanical Garden.

Minimum Qualifications
High School graduation, plus one year of post-secondary education, plus three years of related experience, or an equivalent combination of education and experience.
