The Position

We are seeking to fill an immediate need for a full-time Office Manager.

The Office Manager will be well organized, flexible, and approach challenges positively. A high level of professionalism and discretion are key requirements for this position, as is excellent problem-solving skills and the ability to work comfortably and competently both independently and as part of a small corporate team.

KEY RESPONSIBILITIES:
Office Management:

- Act as main point person for general inquires related to office issues (e.g., facilities maintenance/organization, mail and courier services, office supplies, business equipment, telephones, service providers, corporate/project event needs, etc.).
- Work with Director, Human Resources & Corporate Services, to: (1) support the maintenance of existing office policies and procedures, in accordance with SRDC’s Corporate Policy Manual; and (2) contribute to the development and implementation of new office procedures and standards to guide office operations.
- Work with Director, Human Resources & Corporate Services, to establish comprehensive corporate services reference documentation by outlining administrative procedures (e.g., job aids) for a wide range of internal administrative needs and services, contributing to SRDC’s

Corporate Operations Manual.
- Responsible for ensuring efficient office operations and related services, in accordance with

SRDCC’s Corporate Operations Manual (e.g., performing organized administrative procedures, demonstrating effective communications, maintaining electronic filing systems, verifying/approving invoices, monitoring contracted services, providing admin support to meet a variety of corporate and project demands).
- Ensure office efficiency is maintained with respect to planning and execution of equipment procurement and internal systems.
- Manage relationships with vendors, service providers, and landlord (e.g., ensuring that services are provided according to expectations, items are invoiced and paid on time).
- Support contract and price negotiations with office vendors, and service providers.
- Prepare monthly operational costs reports - review, reconcile, and file receipts and invoices; ensure appropriate approval levels obtained for various purchases; monitor and reconcile monthly credit card statement against authorized transactions.
- Responsible for maintaining well-organized office (including kitchen); liaising with landlord, building management, contractors, technicians and cleaners.
- Report to landlord any deficiencies/issues related to physical operation of office suite (e.g., temperature, lights) and follow up with facilities management team to ensure timely response to requests, deficiencies, repairs, etc.
