VT Controls Ltd. is a growing company needs a reliable, organized Office Administrator to manage the clerical tasks in our office, you will be contributing to vital aspects of running the business. You will be handling incoming phone calls and other communications, greeting clients and visitors, as well as managing files, updating paperwork and other documents, and performing other general office clerk duties and errands. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and great communication skills. If you are great with working with and managing existing systems, you are a potential fit for this role. We are looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed

**Responsibilities**
- Maintain organizational procedures and systems for office personnel, including filing, billing, accounts payable, payroll and scheduling.
- Provide administrative support to other units within the organization.
- Order supplies and equipment as needed.
- Establish team atmosphere through leadership and employee development.
- Tracking and ordering for all office supplies
- Match vendor invoices to Purchase Orders and packing slips.
- Code and post Accounts Payable invoices into QuickBooks system, file invoices
- Perform monthly credit card reconciliations and process payments.
- Managing AR collections and posting cash receipts
- Assist with year-end process.
- Some reception duties, including answering phones and greeting customers and visitors.
- Receive and open all incoming mail, including matching to all invoices.
- Other Administrative duties as assigned.

**Qualifications and Requirements**:

- Associate degree required (B.A. or B.S. preferred)
- 1+ year experience with A/P, data entry and general office work environment
- Proficiency in Microsoft Office suite
- Experience with scheduling, budgeting and payroll
- Advanced computer skills
- Experience with QuickBooks
- Document Management and organization experience
- Supply management experience
- Strong work ethic and reliability
- Excellent written and verbal communication skills
- Comfort with fast-paced environment
