**C**restmont Hall Facility Manager Position*
Crestmont Hall attracts a diverse range of interest groups and users; boasting space on both the upper and lower levels for rental use. It is owned and maintained by the Crestmont Homeowners’ Association (CHOA), and managed by the CHOA Board of Directors.
Our philosophy is to provide a friendly community venue that facilitates and encourages positive community activities - cultural, creative, recreational, educational and social. The Hall is a valuable asset for the Residents of Crestmont and should be managed accordingly; requiring effective management and rental income to be a self-sustaining asset.
The position requires a self-starter, able to anticipate and independently find appropriate solutions for a diverse range of unexpected situations.
The Facility Manager is expected to maintain open office hours in collaboration with the Hall Staff, of 9:30am to 4:30pm on weekdays. There may be occasional times when the manager must respond to issues that are outside of open office hours, and as requested by the Hall Staff. The manager will also be the first point of contact for emergency calls regarding the Hall facility or events, which may be after hours.
**Role of the Facility Manager**
To manage the facility as a friendly, responsive and efficiently run community venue providing opportunities for social, recreational, cultural, creative and educational development to the community. The Hall is extremely popular as a venue for weddings and other large private celebrations. The Facility Manager will be responsible for managing Hall Staff, including the Events Coordinator, Administrator, and Event Staff.
**Responsibilities**
**A**dministration and Venue Management*
The manager is responsible for the day to day operation of the Hall, ensuring effective and efficient maintenance and usage of the assets and facility including, but not limited to:
**F**acility Maintenance *- take a lead role in all facility maintenance items such as regular pest control, garbage bin removal, building and grounds maintenance/upkeep and security;
- Seek out competitive quotes for maintenance and repair items;
- Ensure the provision of cleaning products as required;
- Schedule and oversee summer landscape items and snow removal as needed with existing staff and contractors;
- Assist the Hall Staff with after-function cleaning as needed;
- Oversee operations of spray park, water testing, contractors;
- Oversee operations of ice rink, flooding, contractors.
**F**acility Administration - *take a lead role in all facility administration items such as the following:
- Ensure all administrative systems are effective and efficient;
- AGM agendas and prepare topics for discussion and attend these meetings as needed;
- Prepare quarterly Board Reports;
- Update the Crestmont Hall Policy and Procedures binder regularly, and complete an updated list of outside service vendors.
- Ensure that facility and users comply with current Health and Safety Regulations;
- Create information materials for distribution;
- Update Bold Sign with messaging;
- Coordinate the distribution of Hall Access Cards to the residents; look for ways to improve access and monitoring;
- Provide regular updates and recommendations for up-keep regarding the Hall, including seeking out competitive quotes for facility improvements and maintenance.
**Community Venue Development**
The manager actively promotes the facility and its activities to enable full utilization of the hall in-line with its goals and to a wide range of user groups including:
- First point of contact with the Hall’s regular renters, ensuring harmonious working relationships;
- Identify and develop new programs in response to community needs;
- Liaise with and act as a representative of Crestmont Hall to a range of people including local residents, businesses, community groups and organizations and other community centre managers.
**F**inancial*
The Facility Manager ensures Crestmont Hall is prudently managed including:
- Working with the Administrator to ensure accurate financial reporting is provided to the Board of Directors;
- Maintain outside contracts with approved resources/vendors;
- Maintain regular communication with the Board of Directors in all aspects related to the successful operations of the Crestmont Hall.
- Forward all inquiries from legal offices regarding account status of neighborhood properties to the Administrator (required when a home sale is closing);
- When required and with support from the Administrator, collect and process fee payments as required (via cheque, debit and credit card) and report to Administrator any discrepancies or concerns.
**S**kills and Experience Required*
- Post-Secondary Education: Facility Management, Operations Management, or related field;
- Previous Facility Management, or Related Experience;
- Pool Operators (Level One) considered an asset;
- Systemic administration skills - knowledge o
