People Operations Coordinator

One of our team members is soon to embark on the epic adventure of becoming a parent and will be taking maternity leave to focus on that incredible new chapter of their life. While we will miss them dearly, we now have the opportunity for a People Operations Coordinator to support us for 12+ months as we strive to offer people unique experiences, training, jobs, and support to grow their careers with Mark Anthony Group.
We are a small yet mighty team who work very closely and collaboratively together to support our collection of Okanagan wineries including Mission Hill Family Estate, CedarCreek Estate Winery, Martin’s Lane, CheckMate Artisanal Winery, Road 13 Vineyards, Liquidity Wines, Red Barn, and our farming operation Sebastian Farms.
This role will be based in West Kelowna and will report to the Director, People Operations. You will be a strong partner responsible for supporting seasonal recruitment, Seasonal Agriculture Worker Program, employee onboarding, training & development, and human resources administration.

What We’re Looking For:
Qualifications, Education, & Experience
- Completed Bachelor’s degree in Business, Human Resources, or a related field from a recognized institution
- 1-2 years of experience in human resources or business environment preferred
- Previous experience in Customer Service, Hospitality, or Tourism roles or working as an entrepreneur an asset
- Solid experience managing a high volume of administrative work and data in a fast-paced environment
- Must have a valid driver’s license as local travel is required

What the role will do.
Seasonal Recruitment
- Work with leaders to understand headcount forecast and identify hiring needs
- Create and manage recruitment postings and advertisements across several databases
- Identify new and innovative ways to recruit talent
- Conduct a high volume of telephone prescreen interviews
- Conduct reference checks, generate and issue employment contracts, and follow up as required
- Organize on-site events, leading logistics, marketing, and execution
- Prepare and track HR correspondence and follow up on outstanding documentation (e.g., status change letters, offers, performance reviews, leave forms, education approval forms, privacy, etc.)
- Participate in onboarding & seasonal recruitment strategy
- Collaborate with the Marketing team to create collateral for seasonal hires
Administration
- Maintain and update HR communication and documentation, eg. Monthly People Operations Newsletters
- Support seasonal and permanent onboarding program for winery properties, including scheduling, program design, and logistics
- Assist with data analysis and preparation of reports and presentations
- Proactively cultivate positive employee engagement, a motivated workforce, and an innovative and entrepreneurial culture through leading by example, and acting as an overall support
- Handle and organize confidential employee files and documents, maintaining accurate HR systems and records
Seasonal Agriculture Worker Program (SAWP)
- Own SAWP in conjunction with the Sebastian Farms team
- Coordinate with Senior Viticulturists on annual SAWP requirements
- Facilitate the completion of Housing Inspections to ensure a “Pass” from certified inspector
- Confirm travel arrangements of Temporary Foreign Workers (TFW’s) from Mexico to Canada
- Organize and facilitate SAWP onboarding including orientation, receival of documentation, and coordination to respective BU with Vineyard
