360 Concussion Care is a cutting-edge, multi-disciplinary concussion clinic committed to providing top-notch rehabilitation services. Our approach involves physician-led, interdisciplinary, evidence-based care with a strong focus on patient coaching and education. As a learning health system, we collaborate with leading hospitals and universities, generating valuable research and insights to enhance concussion prevention and treatment.

Our leadership team comprises globally recognized concussion researchers and healthcare professionals, including medical doctors, occupational therapists, physiotherapists, and psychologists. We are on the cutting-edge of concussion research by leading the TRANSCENDENT study. This study is establishing one of the largest concussion datasets in the world and is incorporating assessments including physiological evaluations, fluid biomarkers and advanced neuroimaging to improve the diagnosis, treatment, and management of concussion from all causes, across the entire patient spectrum.

We established the first 360 Concussion Care clinic in September 2020 in Ottawa, and we expanded to clinic sites in Toronto in spring 2021, Mississauga in October 2022, and Burlington in summer 2025.

**About the Role**

We are seeking a friendly, detail-oriented, and highly organized **Administrative Coordinator** to join our clinic team. As an essential member of the front office, this role ensures smooth daily operations and a welcoming, efficient experience for patients and providers. The Administrative Coordinator supports scheduling, communication, documentation, and general administrative processes, helping the clinic run seamlessly while maintaining high standards of professionalism and patient care.

**Key Responsibilities**
- Provide administrative and operational support to ensure efficient daily clinic operations.
- Schedule and confirm appointments, manage provider calendars, and help optimize clinic flow.
- Verify and update patient information, ensuring all required forms and documentation are complete and accurate.
- Process payments, verify invoices, and support basic billing and collection procedures.
- Maintain confidentiality and ensure compliance with clinic policies, privacy standards, and documentation requirements.
- Confirm patient referrals, insurance information, and other documentation to support clinical readiness.
- Maintain a strong understanding of clinic policies and act as a point of escalation for operational or patient-related concerns.

**Qualifications & Requirements**
- **Education**: Diploma or degree in office or healthcare administration or a related field is an asset.
- **Experience**: Previous experience in a clinical administrative role within a healthcare setting, with a strong understanding of clinic workflows and patient care coordination.
- **Skills**: Strong attention to detail, organization, and communication skills; ability to multitask in a fast-paced environment.
- **Technical**: Proficiency in Microsoft Office Suite (Excel, Word) and experience with Electronic Medical Record (EMR) systems.
- **Other**: Demonstrated professionalism, accountability, and discretion when managing confidential and sensitive information; strong commitment to teamwork and fostering a positive clinic culture.

Pay: $50,000.00-$55,000.00 per year
