Service & Operations Coordinator

**Job Overview**:
The Service & Operations Coordinator will manage all customer Service Contracts, to ensure all items under contract are accurately documented and maintained in vendor and OCR portals. They will make certain all item updates or exchanges are correctly recorded, within a timely manner.
**Responsibilities**:

- Follow up and obtain all ordered contracts from the vendor, verify accuracy of quantities, serial numbers and dates. Resolve any issues with the vendors to generate the contracts.
- Ensure the NetSuite generated contracts are correctly issued and imported into the RMA Portal.
- Maintain and update the RMA/Service Contract portal with serial number changes and/or corrections.
- Assist with inventory management of customer spares pool on hand. This includes ensuring items are physically on hand, monitoring transactions posted in the RMA portal and NetSuite, and posting inventory adjustments and updates, if necessary.
- Back up for scheduling OCR onsite technicians and/or third party suppliers at customer sites. Ensure all customer hardware is available and onsite for the scheduled project date.
- Back up to review, update, organize and release customer projects in NetSuite. Assist with project costing analysis prior to issuing the customer invoice. Communicate with the sales team, customers and vendors, as required.
- Provide back up support for the order processing team, which includes updating and fulfilling sales orders, pick packing hardware, cycle counting, and assisting with various other order processing tasks
- Assist with various operational projects as assigned.

**Preferred Characteristics**
- College or bachelor’s degree or equivalent, or equivalent combination of education and experience.
- Minimum 2 to 5 years of experience in a related position
- Industry experience a plus but not required.
