**Job Description**:
To provide operational administrative support to the ITS division for day-to-day responsibilities related to scheduling and coordination of regional Meditech orientation training, ITS on-call and downtime coordination, communication and scheduling support. Additionally, this role will be responsible for ensuring operational administrative support is provided as required for a variety of team project work and ITS operational activities. This role will involve direct contact with internal and regional Human Resources departments, Professional Practice, clinical leadership and all ITS teams across the division.

**Responsibilities**:

- Working closely with Professional Practice, Human Resources across the four hospitals and the regional Clinical Informatics trainers, this role will maintain the regional Meditech orientation/ training schedule for all new hires, staff returning from leave and internal transfers, including management of training room bookings and set up
- Support internal and regional planned/unplanned downtime processes and incident management including coordination of communications, checklists, presentations, posters. This will also include scribing unplanned downtime incidents, meetings, ensuring actions items are documented and completed
- Coordinate, maintain and update on-call pager duty for the division, including the ITS SharePoint calendar and Pager Duty software
- Liaise with Property Management to maintain on-site parking and report building issues
- ITS operational support and all other duties as assigned, including, co-ordinating meetings for the ITS leadership staff; maintaining an adequate stock of office supplies and equipment; support for Change Advisory Board (CAB) meetings
- Assist and support ITS project and Clinical Applications team meetings and project activities as required
- Completion of a two-year college program with a focus on Administrative Assistant work
- Ontario Secondary School graduation diploma
- Progressive experience as a project coordinator or in an administrative role
- Computer skills including MS Office (Word, Excel and PowerPoint required)
- Experience working to support a project team or for a Manager/Director
- Strong interpersonal skills
- Excellent communication skills both oral and written
- Able to communicate with a variety of management levels
- Proven organizational skills
