**The Opportunity**:
**Key Accountabilities**:
1. Maintains and updates databases, including payroll information, to ensure accurate entry of employee changes, additions and deletions. (shared responsibility)
2. Maintains and updates member information in in-house and online payroll tools (i.e. Oracle/Intuit), group benefit and retirement program online portals and other databases. (shared responsibility)
3. Responds to employee requests for employment confirmation letters, RRSP/TFSA withdrawals and benefit questions. (shared responsibility
4. Provides support and produces or assists with various activities relating to HR engagement activities and program administration including but not limited to:
- Maintaining various Oracle absence program features such as vacation and floater days, volunteer days, and training time. Coordinates various related, periodic, and annual communication and opt-in loops while supporting divisional administrators and liaising with employees and payroll staff.
- Creating, updating, and editing content while maintaining accuracy of various HR communication platforms designed to enhance employee communication and engagement (SharePoint, WorkVivo, etc ); Monitors ongoing feedback from employees to HR and acts as a moderator for related areas of online communication platform.
- Liaising with Marketing, Information Technology and other internal parties in the creation and enhancement of our engagement efforts and its presentation on various formats thereby enhancing employer brand. Participates and supports efforts to keep employees informed, engaged and inspired;
- Launching onboarding packages and assisting with onboarding of new employees, as required; Maintaining third-party onboarding tools including liaising with providers, updating content/forms and ensuring access updates for HR team members; Gathers and shares feedback from participants and makes recommendations for improvements.
- Coordinating the Wellness Program, including scheduling meetings, creation of minutes, coordinating associated employee communication, campaigns, and events; updates and disseminates policy and related documents as directed.
- Investigates and recommends improvements to processes and efficiencies relating to HR engagement activities and program administration.
- Disperses related communications to targeted groups as appropriate.
5. Coordinates and supports employee engagement surveys to enhance targeted feedback efforts; Participates in researching best practices, creating and sourcing survey content; Coordinates large annual and smaller focused launches (new hire, pulse, etc ); Gathers results and creates reports for further scrutiny and action planning; Creates presentations as requested.
6. Participates in, and/or facilitates the administrative needs of, various corporate committees as a department representative. Contributes to, or takes on, project work as assigned by manager.
7. Performs additional administrative duties not limited to filing, scanning, tracking expenses, updating forms or other documents on the intranet, and preparing documents and reports to assist in the smooth running of the department.
**Qualifications**:
- Minimum high school graduation, or equivalent level of education, plus an additional two+ year post-secondary diploma or degree in Human Resources studies or training/equivalent.
- Oracle experience is a distinct asset.
- A valid G Registration Ontario Driver’s License in good standing is required for this position.
**Experience**:
- Greater than six months but less than or equal to one year of Human Resources related experience.
