**JOB TITLE**: Office Coordinator
**REPORTS TO**: President/Operations Manager and V.P. Marketing
**GENERAL DESCRIPTION**: This position plays an integral role to ensure the smooth daily operation of vital office, administrative functions & duties while adhering to the organization’s values and principles.
**DUTIES AND RESPONSIBILITIES**
- Maintain all office correspondence and communication
- Maintain ongoing communication with President, V.P. Marketing and necessary personnel
- Issue sales invoices (verify prices and quantities)
- Record customer payments and prepare bank deposits
- Record supplier invoices and expenses and schedule their payments
- Prepare customs documentation and coordinates with customers clerk for clearing shipments
- Prepare monthly/quarterly reports and payments as required for the government
- Compile bi-weekly payroll
- Contact customers and follow up on receivables on a weekly basis.
- Coordinate and order office/warehouse/production supplies
- Verify physical inventory weekly and advise accordingly
- Coordinate deliveries with drivers and shipping/receiving
- Coordinate production activities with Production and Warehouse personnel
- Actively assist FSQA Coordinator in Food safety activities/reports
- Maintain professionalism with all customers/clients/staff
- Handle Customer Complaints calls investigate the cause and participant in their resolution
- Implement corrective actions relating to the seriousness of incidents
- Perform other duties as assigned
**_Food Safety Management Team Member (FSMT)_**
- Support, promote, assist improve the company's food safety programs including but not limited to GMP’s, HACCP and SQF
**JOB SPECIFICATIONS AND REQUIREMENTS**:
- College/University Graduate (or in progress) preferably in business field
- Experience in accounting and office environment
- Excellent written and verbal communication skills
- Excellent at multitasking and problem solving
- Ability to work under pressure and meet tight deadlines
- Excellent computer skills
- Fluent with office software (excel, word, outlook, etc)
- Familiar with accounting software
- Worker Health and Safety Awareness in 4 Steps training certificate
- WHMIS 2015 for Workers training certificate
**Salary**: $39,000.00-$40,000.00 per year
