**Position Summary**_**(*There is potential for permanent employment in a similar role following this term position)**_

The Student Admissions Coordinator is accountable to the Chief Flight Instructor and Office Manager and is responsible for coordinating multiple departments within the organization, including student admissions, scheduling, dispatch, and aircraft availability. The Coordinator ensures resources are utilized effectively to meet company objectives.

**Primary Responsibilities**:
Operations/Student Admissions
- Recruit and enroll students in various programs, including online and in-person ground school, modular flight training programs, and the Integrated Airline Transport Pilot program.
- Manage the student intake process, including any applicable wait lists, instructor assignments, and address reassignments in consultation with the Chief Flight Instructor.
- Check in with students to ensure they are on track with their training goals and are booking consistently.
- Notify the Chief Flight Instructor of students struggling with training, becoming inactive, or experiencing issues with instructor pairings (e.g., scheduling conflicts, training challenges, or personality mismatches).
- Contact students that become inactive to determine future intentions.

**Logistics**
- Assist with creating and maintaining employee schedules in consultation with management.
- Oversee scheduling by creating new bookings and managing cancellations, working closely with Dispatch to ensure maximum aircraft and instructor utilization.
- Process company exams and certificates for students and employees.

**Quality Assurance and Compliance**
- Ensure quality assurance of operational processes by conducting regular audits to ensure that students are actively enrolled, billing is properly administered, and student milestones are being met.
- Assist with software development and updates to improve organizational performance (e.g., FlightLogger).

**Customer Service and Communication**
- Communicate effectively with students from diverse cultural backgrounds.
- Coordinate effective communication across various forums to support excellent customer service.
- Demonstrate professionalism through prompt, knowledgeable, and respectful interactions with students, staff, and external stakeholders.

**Other**
- Uphold the company mission, vision, values, policies, and current standard business practices.
- Organize and attend various tradeshows and career fairs to represent the company.
- Perform other duties as required.

**Requirements**:

- Grade 12 education
- 2+ years of flight operations experience (an asset).
- Strategic management skills, including planning, coordination, and financial management.
- Customer service focus and able to identify and anticipate customer needs, expectations, and requirements.
- Strong leadership, team-building, and multitasking skills.
- Self-starter capable of working under mínimal supervision with cross-functional teams to achieve goals.
- Well-developed communication, interpersonal, conflict management, and negotiation skills.
- Working knowledge of pilot training requirements (an asset).
- Proficiency with MS Office (Excel, Word, Outlook, Teams).
- Ability to work in Canada

**Working Conditions and Physical Demands**:
Working conditions are typical of an office environment, with frequent disruptions and a moderate amount of noise. Occasional outdoor exposure to weather conditions may be required.

Physical demands may include:

- Sitting, standing, stair climbing, and moving.
- Prolonged visual concentration on computer screens.
