Clerical Assistant, Admissions and Transfer Credit

Admissions and Transfer Credit facilitate the admission of Canadian and international students to direct entry programs (and others) by interpreting and setting admission and transfer credit policy and procedures, by evaluating the credentials of applications and rendering admissions decisions and by evaluating and assessing transfer credit. The unit also works with non-direct entry programs to provide admission and international credentialing advice.
Primary Purpose: To work as part of a team responsible for recruiting and admitting students to the University of Saskatchewan.
Nature of Work: Reporting to the Director of Admissions & Transfer Credit, this position takes work direction from the Director, the Coordinator of Admissions and Transfer Credit, and Admissions Officers. The position may interact with a diverse population, including prospective students, high school counselors, university faculty and staff, and other members of the community; and is expected to deliver expertise and a high level of customer service, with tact, cultural sensitivity, confidentiality, and attention to detail. Work is performed independently in a fast- paced environment, subject to multiple conflicting deadlines and priorities, with frequent interruptions.
Typical Duties or Accountabilities:
- Ensure high standard of prospective student service and an efficient application process, including receiving, processing and reviewing applications
- Organize and synthesize high volume of information from multiple sources, including transcripts (through mail, email and electronic download), correspondence, and examination/test results
- Interpret and enter application data within CRM RECRUIT and onto the Student Information System
- Generate and edit appropriate letters and e-mails to applicants concerning the status of their application
- Process incoming documents relating to applicant files
- Enter transfer credit onto the Student Information System if required
- Provide information on applicant files to potential applicants and university personnel
- Liaise with university stakeholders to ensure smooth transition of students into the university
- Provide information to recruitment and admissions staff regarding applicant files and documents
- Liaise with high schools, universities, colleges and outside testing agencies to verify authenticity of post-secondary credentials and examination scores
- Assist with training new staff
- Other tasks as assigned.
Education: Completion of Grade 12 and a recognized post-secondary office administration program or experience taking university courses would be an asset.
Experience: At least two years of directly-related experience in a post-secondary educational institution is preferred; an understanding of the University of Saskatchewan's admission and transfer requirements, policies, and procedures for Canadian and international applicants and a knowledge of university programs, academic programs, recruitment initiatives and support services. Experience with database software; proficiency with the Banner Student Information System. Experience with RMS RECRUIT would be considered an asset.
Skills: Effective interpersonal, analytical, written and verbal communication skills; demonstrated ability to function in a high volume setting with numerous deadlines; demonstrated public relations skills including the ability to handle interactions with tact, discretion, confidentiality and cultural sensitivity; demonstrated ability to effectively serve a diverse population in a customer-service oriented setting; attention to detail and ability to organize large volumes of information from multiple sources; very strong organizational skills are a must in order to maintain consistent customer service and timely processing of applications; ability to interact effectively with a diverse student population in a positive and empowering manner; self-motivated and creative with the ability to exercise initiative; and strong computer skills including keyboarding skills, Word, Excel, and email.
