**Job Overview**
We are seeking an experienced **Accounting Administrator** to join our dynamic team. This role is vital in ensuring accurate financial reporting and maintaining our commitment to integrity and quality service.
**Key Responsibilities**:
- Serve as a primary contact for clients, vendors, and internal staff regarding financial and administrative matters.
- Manage accounts payable and receivable, including invoice processing, expense tracking, reconciliations, and vendor payments.
- Prepare, review, and maintain financial reports, statements, and supporting documentation.
- Monitor project-related budgets, ensuring accurate recordkeeping and cost control.
- Maintain organized filing systems (digital and physical) for financial, compliance, and project documentation.
- Ensure up-to-date records for licenses, certifications, safety training, and compliance requirements.
- Assist with HR-related administration such as onboarding, timesheet tracking, and maintaining employee records.
- Coordinate meetings, appointments, and reporting schedules as required.
- Provide accounting and administrative support to project managers as needed.
**Other Related Duties**:
- Assist with year-end audits and preparation of financial documentation.
- Reconcile credit card statements and vendor accounts on a regular basis.
- Support procurement activities by tracking purchase orders and vendor contracts.
- Identify opportunities to improve financial and administrative processes.
- Perform general office administration, including ordering supplies and maintaining office organization.
**Job Requirements**:
- Diploma or degree in Accounting, Finance, Business Administration, or related field.
- 2+ years of experience in accounting and administrative support roles.
- Strong knowledge of accounts payable/receivable processes and financial recordkeeping.
- Proficiency with accounting software and MS Office (Excel, Word, Outlook).
- Experience with **Odoo CRM/ERP** is considered a strong asset.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills with the ability to work across teams.
- Ability to manage multiple priorities and meet deadlines with accuracy.
