The **Payroll Specialist **serves as part of the Employee Experience team and is responsible for processing of payroll information for several program and service areas on a bi-weekly basis. The Specialist responds to enquiries from employees and supervisors regarding payments and guidelines and is responsible for providing support for leaders in the processing of pay. The Specialist acts as a back-up during extended absences, supporting the caseloads of other members within the Payroll team.
**Key Responsibilities include**:
- Reviews hours and attendance reports for compliance and / or waivers.
- Codes employee hours and calculates totals for processing into electronic payroll system.
- Follows-up and reviews with supervisors regarding discrepancies, errors, or omissions in payroll data or employee hours.
- Receives and processes pay garnishments, remittances, and repayment of advances.
- Conducts audits to ensure accuracy of payroll information prior to transmission.
- Serves as a first point of contact for payroll inquiries from various department / service areas. Supports the Employee Experience team to ensure that employee inquiries are escalated and addressed in a timely manner.
- Processes Record of Employments (R.O.E.s) as required by legislation or upon request from employees.
- Prepares and maintains new and existing employee files, updating payroll in accordance with guidelines.
- Tracks and inputs a variety of payroll related information for employees in the payroll system (e.g., increment / anniversary dates, pension eligibility, vacation accruals, seniority, etc.)
- Maintains, distributes, and analyzes reports from the payroll system (accruals, biweekly hours, stat calculations, etc.), or additional reports as requested.
- Assists with regular and ongoing review of payroll data integrity and performs audits on data in the payroll system as required.
- Minimum two (2) years of experience working in a payroll role, preferably in the non-profit sector.
- Post-secondary education (degree, diploma, or certificate) in Payroll from a recognized post-secondary institution. A combination of education and experience may be considered.
- Payroll Compliance Professional (PCP) designation is considered an asset.
- Experience in an accounting role is considered an asset.
- Minimum two (2) years of accounting experience
- Demonstrated experience working with a full HRIS platform, including processing payroll, maintaining payroll records, and data entry.
- Knowledge of legislation, acts, regulations, and practices affecting payroll functions.
- Demonstrated organization and time management skills, with an attention to detail with record keeping and administrative tasks.
- Excellent customer service abilities; sensitivity to customer issues and understanding the importance of diplomacy and confidentiality.
- Clear and concise verbal and written communication skills.
- Proficiency in Microsoft Office suite, including Outlook, Excel, Work, PowerPoint, and SharePoint.
- Fluency in American Sign Language is considered an asset.
The salary range for this 70 hour bi-weekly position is $23.63 to $30.71 per hour, dependent upon education and/or experience. This is a 1-Year Term position
