SUMMARY
The Administrative Operations Support - Returns Department plays a vital role in supporting the accuracy and efficiency of our reverse logistics operations. This position is responsible for coordinating the daily flow of returned goods, ensuring proper documentation, and communicating effectively with delivery teams, internal departments, and clients. The role involves maintaining detailed records, auditing return documentation, identifying discrepancies, and supporting the resolution process. Success in this role requires strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced logistics environment.
**Pay Scale**: $21 - $23.40
RESPONSIBILTIES
- Communicate and coordinate with customers, clients, and internal teams to ensure timely processing of returned units.
- Review BOLs, PODs, and RA forms to validate and audit returned shipments from delivery teams and other hubs.
- Track, maintain, and update return status in internal systems and tools such as Air Table, ensuring accuracy and timely documentation.
- Create and maintain daily return logs to monitor volume trends, discrepancies, and turnaround time.
- Coordinate with the outbound and claims team regarding replacement orders, damaged returns, and unresolved discrepancies.
- Generate and review reports to identify process gaps, repeat errors, or areas for continuous improvement within the return operations.
- Ensure proper staging, labeling, and disposition of returned items according to company standards and customer requirements.
- Perform other administrative or coordination tasks as required to support the smooth functioning of the Returns Department

EXPERIENCE
- 1-2 years of experience in administrative support or logistics operations, preferably in a warehouse or returns environment.
- High proficiency in Microsoft Excel - capable of using formulas, filters, and pivot tables for tracking and reporting.
- Experience in handling return documentation such as BOLs, PODs, and RA forms is an asset.
- Experience with data entry and tracking tools such as AirTable or other warehouse management systems.
- Previous experience of coordinating with delivery teams, customers, or internal departments.
- Familiarity with reverse logistics processes, damage assessments, and claims handling is an asset.
- Strong written and verbal communication skills to support cross-functional collaboration and issue resolution.
