Queenston Mile Vineyards is looking for a highly organized and detail-oriented **Office Manager** to oversee the administrative, financial, and inventory operations at our Family Estate. This is a hands-on role responsible for managing day-to-day office functions, coordinating financial reporting, and supporting the sales, events, and production teams.

**Key Responsibilities**:
**Cash Management (Daily)**:

- Reconcile daily server cash outs and match deposits to POS system z-reads
- Organize daily cash in master envelopes and prepare deposits accordingly
- Manage pooled tip distributions, including cash sourcing through bank or head office when necessary
- Maintain petty cash and safe balances

**Timekeeping & Payroll Support (Daily / Weekly)**:

- Set up new employees in the payroll/timekeeping system
- Review and correct daily staff punches
- Prepare and submit weekly hours report to head office
- Communicate Record of Employment (ROE) requests to head office

**Inventory Control (Monthly)**:

- Conduct monthly inventory counts (with assistance as needed)
- Track all promotional, damaged, or written-off inventory
- Coordinate weekly wine orders from the offsite warehouse
- Update pricing when vintage or SKU changes occur

**Sales Administration (Daily / Weekly)**:

- Set up and manage new licensee customer accounts
- Generate invoices and collect payments for all licensee and third-party orders
- Coordinate packaging and shipment of wine orders (wine club, licensees, online)
- Invoice events per SOP and reconcile payments post-event with group organizers (e.g., WoNOTL, GGO)

**Accounting & Reconciliation (Daily / Monthly)**:

- Enter supplier/customer invoices and journal entries into the accounting system
- Reconcile monthly bank and credit card statements
- Record sales entries from all channels accurately

**Winery Compliance & Reporting (Monthly)**:

- Complete and submit LCBO and VQA wine sales reports (J10 reporting)
- Maintain accurate Excel-based tracking for all sales channels
- Remit wine tax payments in accordance with monthly reporting

**Excise Duty Reporting (Monthly)**:

- Calculate monthly wine volumes and submit RD0001, RD0002, and RD0003 forms via CRA
- Ensure full compliance with federal excise regulations

**What You Bring**:

- Proven experience in office administration, accounting support, or operations coordination—preferably in a winery or hospitality environment
- Strong knowledge of financial processes, reconciliations, and government compliance (LCBO, CRA, VQA, etc.)
- Proficiency in accounting software, spreadsheets, and POS systems
- Detail-oriented and organized, with strong time management and follow-through
- Ability to work independently and manage competing priorities
- Excellent communication skills and a proactive, team-oriented mindset
