**Reception Duties**
- Answer phones, address customer questions, and relay messages or forward calls as appropriate
- Receive, distribute, and manage mail and deliveries
- Provide a welcoming environment for everyone who comes into the office
- Manage day-to-day office cleanliness and functionality
- Manage brokerage calendars
- Additional team support as required

**Office Management Duties**
- Oversee the supply management for all offices
- Manage and track the inventory of supplies on a regular basis
- Be a resource for brokerage agents related to client support and brokerage services
- Manage support and maintenance of office equipment and technology
- Build strong relationships with vendors and suppliers
- Manage the maintenance of all four office locations
- Provide training and supervision for reception staff at three office locations
- Ensure compliance with health and safety policies and support an inclusive work environment
- Provide support to senior management as required
- Maintain office records and databases and ensure accuracy
- Ensure the standards of the brokerage are maintained through service excellence
- Work closely with the VP of Operations to develop operational processes and procedures

**Software**

Experience with real estate specific software tools and CRMs is an asset. Skilled use of G-Suite (Gmail, Tasks, Calendar, Sheets, Docs, Forms, Slides, and Meet). You will be expected to attend training and gain a basic understanding of additional software employed by the brokerage going forward, as determined by management.

**Required Skills and Qualifications**
- Strong written and verbal communication skills.
- Excellent interpersonal skills.
- Excellent organizational and time management abilities.
- Analytical and problem-solving skills for process improvement.
- Flexibility and adaptability to changing office needs.

**Experience and Education**
- 3-5 years of administrative or office management experience.
- Administrative experience in a real estate brokerage is a strong asset.
- Bachelor’s degree or college diploma in business administration or a related field or equivalent experience is preferred.
- Bilingualism is an asset, but not required.

Pay: $55,000.00-$60,000.00 per year

Additional pay:
