Service Administrator (Truck and Trailer)
**Shift**: Monday to Friday; 7:00 a.m. to 4:00 p.m.
The Service Administrator (Truck and Trailer) plays a pivotal role in supporting the Customer Service Team by managing work-in-progress (WIP) closure and ensuring seamless communication with both internal teams and customers. In this role, you will focus on maintaining the flow of operations, managing work in progress tasks, and ensuring the timely completion of service requests. Your responsibilities will include updating customers on the status of their equipment, coordinating repair schedules, assisting the Customer Service Team in meeting customer expectations, and facilitating the smooth return or pickup of completed equipment.

Key Responsibilities
- WIP Management & Closure: Track and manage the progress of ongoing service orders. Ensure that all work-in-progress (WIP) tasks are completed on time, meeting customer expectations and service delivery standards.
- Customer Service Support: Assist the Customer Service Team by providing timely updates to customers regarding the status of their equipment, expected repair completion times, and any changes in scheduling. Ensure all customer inquiries are addressed promptly and professionally.
- Communication with Internal Teams: Collaborate effectively with other team members to align resources and optimize repair schedules.
- Repair Scheduling & Coordination: Work closely with the Customer Service Team to ensure repairs are planned efficiently. Coordinate with the Service Centre to ensure the timely scheduling and completion of work and assist in ensuring repairs are aligned with customer timelines and expectations.
- Customer Updates: Regularly update customers on the progress of their equipment service and maintenance.
- Operational Efficiency: Support internal teams to maximize Service Centre productivity and ensure resources are being utilized efficiently. Monitor service order progress and address bottlenecks that may impede the closure of work-in-progress tasks.
- Delivery & Pickup Coordination: Assist in coordinating the return or pickup of customer equipment upon completion of repairs.

**Requirements**:

- Minimum 3 years’ experience as Service Administrator at major tractor OEM Service Centre
- Customer service training and experience
- Competent in Customer Service skills to ensure professional, timely, and courteous customer interactions
- Knowledge of VMRS codification of labor and parts
- Ability to manage multiple priorities, tasks simultaneously
- Comfortable with working in a high pace environment
- Strong organizational and time management skills
- Strong data entry skills
- Strong communication skills
- Strong computer skills (MS Office, maintenance software system familiarity, communications software)
