**Summary**

A Property Administrator plays a critical role in supporting the day-to-day administrative operations of our residential, condominium and commercial property portfolio by ensuring administrative efficiency, organized communication, and seamless coordination between owners, residents, vendors, and internal stakeholders. This position serves as a central point of contact for documentation, resident services, and property-related logistics, helping maintain smooth and professional operations across managed properties.

**Responsibilities**
- **Administrative Support**:_
- Draft and prepare correspondence, reports, notices, bid specifications, and budgets
- Assist in the creation and distribution of board packages, meeting materials, and resident communications
- Maintain physical and digital filing systems for unit records, contracts, and documentation
- Track special projects such as inspections, maintenance schedules, and insurance compliance using property management software
- Manage inventory of office supplies, letterhead, envelopes, and forms
- Coordinate elevator bookings, key/fob distribution, and move-in/move-out logistics
- Work closely with accounting to prepare and coordinate payments and process transactions securely
- Maintain organized physical and digital filing systems, including unit files, resident records, chronological records, and reference materials.
- **Operational Coordination**:_
- Support property managers in overseeing multi-unit portfolios
- Assist with the maintenance and administration of contracts and service agreements
- Monitor contractor performance and coordinate on-site maintenance as required
- Maintain positive relationships with residents and clients through effective communication
- Ensure timely completion of documentation and compliance-related tasks
- Attend and assist with annual meetings and board meetings, as needed

**Requirements**:
**Minimum Experience**: 2 years in administrative role.

**Preferred Experience**: Property Management experience along with general maintenance knowledge would be an asset.
