This is accomplished through a network of culturally based programs, services and teachings.

Job Purpose

The Front Desk Receptionist will report to the direct supervision of the Executive Director. This position is responsible for assisting with administrative support to all staff, volunteers and community members of the BNFC. The Front Desk Receptionist is responsible for assisting in coordination and administrative support with both BNFC Main Centre and Justice Office.

This position is supported by the Apatisiwin Employment and Training program and qualifying individuals must complete an intake form into the program.

The Front Desk Receptionist is an integral part of the BNFC team, assisting the team in ensuring administrative duties are completed (completing mail logs, forwarding calls, coordinating and acknowledging community donations, managing BNFC social media, etc.). This individual is also the first person many will see as soon as they walk into the building. The Front Desk Receptionist often prepares the reception area in the morning (making coffee, sanitizing and organizing, caring for the space, etc.). The applicant will work as part of a team in a dynamic environment that works collaboratively to optimize relationships with team members, BNFC members, Barrie community members and families, and our organizational partners.

Primary

**Responsibilities**:

- **Maintain strict confidentiality**.
- **Direct supports**: assisting team in ensuring an inviting, organized and well-run entry and reception area for all clients and families (ensure coffee, tea and water is available; water indoor and outdoor plants; organize promotional materials; etc.); a basic knowledge and understanding of BNFC programming and services; basic knowledge of local organizations and their programs/services that are relevant to BNFC clients; ensuring there is available supply of information brochures, pamphlets, etc.
- **Coordination**: creating and establishing community rapport; greeting guests and clients in a respectful, friendly, courteous manner; creating and maintaining a clean and welcoming environment at reception area; answering incoming calls and inquiries and directing to the appropriate program or community referrals and handle messages; handle and log incoming and outgoing mail, cash, cheques and parcels; maintain sign in and sign out sheets (staff, volunteer, and visitor logs); maintain an office and building supply inventory; order supplies and materials when required; keep staff contact info, including business cards, up to date; assist with Hunger to Hope program including completing client intake forms, reaching out to community for donations, receiving donations, and handing out to H2H clients; report any maintenance issues; other duties as assigned;
- **Administration**- reporting as required; participation in evaluation activities; ensuring team has access to any intake forms, flyers, etc; ensure all BNFC printed information is up to date and posted; assisting in creation of the quarterly program guide and monthly BNFC Membership Newsletter; maintain BNFC membership contact list and communication; maintain social media presence and update BNFC website when required; keep cheque log, write receipts including charitable receipts for monetary donations; manage petty cash for centre-wide purchases such as coffee creamer; recognize community support and donations via thank you cards and social media acknowledgement; maintain office key log; etc.

Secondary

**Responsibilities**:

- Working and contributing with the team to organizational wide special projects (ie. Community Events, Food Committee, Health and Safety Committee, etc) when needed;
- Attending monthly Board of Directors meetings; help with organization, planning, and taking minutes;
- Forming working relationships with regular community-members and visitors at BNFC;
- Providing general information about BNFC programs and services to the public;
- Other duties as assigned from time to time.
