Approximately 6 months

2120 Cambie Street, Vancouver
**SALARY**:
Pay Range 30 - $29.63 to 37.04 per hour & 12% in lieu of benefits

Reporting to the Executive Director, the Administrative Assistant carries out a variety of tasks to ensure comprehensive administrative support for the Police Board. Much of the work is of a sensitive, confidential nature.
**ESSENTIAL DUTIES**:
- Prepares all Board and committee agenda packages and distributes accordingly
- Prepares minutes and compiles ad distribute documents
- Prepares monthly per diem payments
- Makes all travel arrangements and ensures reimbursement of travel expenses
- Maintains Board filing and archiving systems, including confidential records
- Maintains Board databases, prints, scans and archives Board’s records with accuracy
- Organizes Board events, community meetings and special events
- Other added related duties and responsibilities as assigned
**KNOWLEDGE, SKILLS & ABILITIES**:
**REQUIRED**:
- Ability to establish and maintain effective working relationships in a team environment
- Extensive knowledge using Word, Excel, Adobe, Teams, Zoom and Outlook is a must.
- Excellent verbal and written communication skills
- Excellent attention to details
- Strong organizational abilities with an ability to multi-task in a high-volume work environment with frequent interruptions and shifting priorities
- Ability to exercise judgment, discretion and maintain a high level of confidentiality
- Ability to perform structured, routine and repetitive tasks with consistency and accuracy
- Ability to maintain focus, stay motivated and engaged in a role with repetitive processes
**EXPERIENCE**:
**REQUIRED**:
- Minimum three years office experience in an administrative support role
- Past minute taking experience
**EDUCATION**
**REQUIRED**:
- Grade 12
**PREFERRED**:
- Courses in Business and Office Administration
- Courses in Microsoft Office
**OTHER REQUIREMENT(S)**
- Valid BC Driver’s license
- All employees must maintain their Enhanced Reliability Clearance while employed with the Vancouver Police Board. Enhanced Reliability Clearances will be renewed every 5 years.
**Selection Process**:
- Employment reference checks and an Enhanced Reliability Check will be required prior to an employment offer being made.
