Senior Administrative AssistantProgram Area: Education and Childcare – Alberta Child Care Grant Funding and Affordability Grant ProgramsOverviewThe Senior Administrative Assistant provides advanced administrative and operational support for the management of multiple child care grants, ensuring financial accountability, compliance, and high-quality service delivery. The role involves assessing eligibility, processing grant applications, managing complaints, and supporting program administration within the Alberta Child Care Branch.This position contributes to operational planning, supports a positive team environment, and ensures all work aligns with legislative, policy, and Ministerial requirements.Key ResponsibilitiesGrant Administration & Financial AccountabilityAssess, evaluate, and recommend funding for licensed child care programs under Alberta Child Care Grant Funding and Affordability Grant Programs.Determine eligibility for grant funding and advise recipients of required actions to meet funding criteria.Identify service delivery or payment issues and recommend solutions to management.Ensure grants are administered in compliance with accepted practices, financial legislation, and Ministerial policies.Complaint Management & Client SupportRespond to complaints from grant recipients, early childhood educators, and Alberta families.Provide advice, information, and guidance to resolve issues efficiently and professionally.Review complaints, request additional information if needed, and support investigations in consultation with the Senior Program Analyst.Refer unresolved complaints to appropriate personnel as required.Operational Support & Team ContributionParticipate in the development and implementation of the operational plan for the Child Care Branch.Delegate administrative tasks to unit administrative or temporary staff when necessary.Maintain accurate records and contribute to team efficiency and a positive working environment.Work Environment & ScheduleStandard hours of work: 08:15 – 16:30 Alberta Time, Monday through Friday, with a 1-hour lunch break, excluding provincial holidays.This is primarily a remote position following an initial in-office training period at the Forestry Building, 9920 – 108 Street NW, Edmonton, AB.All work must be performed in accordance with Government of Alberta policies and procedures.Required QualificationsEducationHigh School Diploma or GED required.Experience & SkillsMinimum 2 years of experience engaging directly with business or government clients.Minimum 3 years of relevant administrative experience in a similar role.Minimum 2 years of experience with research, analysis, and problem-solving.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Clear verbal and written communication skills, with professional interaction across teams and clients.High degree of accuracy, attention to detail, and organizational skills.Ability to work independently and collaboratively within a team.Soft SkillsQuick learner with the ability to troubleshoot and resolve issues efficiently.Strong analytical and problem-solving mindset.Ability to prioritize workload and meet deadlines in a fast-paced environment.Nice-to-Have QualificationsPost-secondary education in Office Administration, Business Administration, or a related field.Security & ComplianceA Standard Background Check, including a criminal record check, is required prior to commencement.Completion of mandatory training is required, including:Freedom of Information and Protection of Privacy (FOIP)Security/Cybersecurity AwarenessInformation ManagementRespect in the WorkplaceAdditional InformationNumber of positions: 5Anticipated interviews: January 2, 2026 (estimate)Contract extension may be available, up to 12 monthsFixed rate includes all costs, including administrative burden, office equipment, and supplies.Spirit Omega is committed to a diverse and inclusive workplace.
