The Administrative Assistant’s primary focus is to provide exceptional reception and customer service to both internal and external stakeholders. As the welcoming face of Westerner Park, this role ensures a positive, professional, and efficient experience for all visitors. In addition to reception responsibilities, the Administrative Assistant provides essential administrative and operational support to the RV Resort and the Donald Administration Building to ensure the smooth and effective functioning of daily operations.  Under the direction of the Accounting Manager, the Administrative Assistant is responsible for the following: Reception and Administrative Support  Open and close Westerner Park’s reception area.  Deliver exceptional customer service to ensure a positive guest experience.  Follow the established sign-in process for visitors and direct them to appropriate staff or departments.  Manage a multi-line phone system, directing calls, taking messages, and ensuring timely follow-up.  Process access requests, including security code and fob updates.  Handle and redirect email, mail, and general inquiries as needed.  Maintain accurate and up-to-date contact information for administrative staff and the staff directory.  Assist with the development and distribution of internal and external communications.  Manage monthly supply orders for the Administration Building.  Maintain office equipment and coordinate service or maintenance when required; communicate equipment downtime to relevant staff.  Order office supplies and maintain appropriate inventory levels.  Maintain the cleanliness and organization of meeting rooms and common areas.  Westerner Park RV Resort Support  Oversee the day-to-day administration of the RV Resort, including arrivals, departures, guest check-ins, and general inquiries.  Assist guests in person and by phone, providing accurate information and exceptional service.  Process payments for RV Resort guests and ensure appropriate documentation.  Follow up with guests regarding outstanding balances or invoicing issues.  Prepare and post journal entries using Sage Intacct.  Run monthly operational and financial reports in Campspot.  Print, organize, and maintain required documents, guest files, and reports.  Coordinate with departments such as Event Delivery and Park & Facility Teams to support onsite guest needs and ensure a positive resort experience.  Joint Health & Safety Committee Support  Represent the Administration team as a worker member of the Joint Health and Safety Committee.  Support the creation, filing, and maintenance of documentation and records for the JHSC and Health & Safety Representative(s).  Schedule JHSC meetings, prepare agendas, take minutes, and post approved minutes.  Assist in developing statistical records, such as incident counts or other health and safety metrics.  Distribute meeting minutes and maintain appropriate documentation.    Accounting Support  Provide support to the Accounting team regarding campground-related invoicing, payments, and financial reconciliation.  Enter basic data into accounting spreadsheets or logs as directed.  Distribute or collect invoices and statements to/from departments as requested.  Run daily, weekly, and monthly financial reports as required.  This role is expected to adapt to organizational needs and may take on additional duties or responsibilities as required.  Embark on a dynamic and rewarding career with Westerner Park, where joining our team means unlocking a host of benefits:  Competitive compensation packages  Comprehensive benefit packages encompassing life, health, dental, and disability insurance.
