Position Overview
Reporting directly to the
General Manager
, the
Administrative Assistant
provides vital administrative and clerical support to both office and field teams. This position is key to ensuring daily operations run smoothly and efficiently.
This is a
temporary, full-time position for approximately 6 months
, with the
possibility of extension or permanent employment based on business needs and performance
.
As the first point of contact for customers and team members, the Administrative Assistant represents the company's professionalism, organization, and commitment to excellence. The ideal candidate is detail-oriented, adaptable, and enjoys supporting a collaborative, fast-paced work environment
Key Responsibilities
- Greet and assist customers, team members, and visitors in a professional and friendly manner
- Answer and route incoming calls using a multi-line phone system
- Maintain accurate customer records, files, and databases
- Manage office organization, supplies, and mail distribution
- Perform data entry and support bookkeeping functions, including Accounts Payable and Credit Card transactions
- Review and respond to customer reviews via Swell
- Support scheduling, permitting, warranty registration, and job documentation processes
- Maintain meeting minutes and assist with planning in-house or off-site events
- Provide general administrative assistance to the General Manager and Office Administrator
- Ensure a clean, organized workspace and uphold company image and culture
- Maintain confidentiality and act in alignment with the company's mission, vision, and core values
Qualifications
- Valid Driver's License
- Certificate or diploma in Office Administration (or equivalent experience)
- Previous administrative experience (experience in the trades industry is an asset)
- Strong data entry and general math skills
- Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software
- Excellent attention to detail and organizational skills
- Strong verbal and written communication abilities
- Ability to multitask and meet deadlines in a dynamic environment
- Professional demeanor with strong customer service orientation
- Ability to work independently and collaboratively as part of a team
- Comfortable lifting up to 50 lbs and sitting/standing for extended periods
Work Schedule
- Monday–Friday, 8:00 AM to 4:30 PM (30-minute lunch break)
- Additional hours may be required
based on workload and project needs - This role is
expected to last approximately 6 months

depending on company requirements and performance.
