Unit SummaryThe Interprofessional Development team is rich in skills and knowledge, diverse in roles and outcomes, and consistently involved in education, evaluation, research and innovation initiatives. We rally together around common goals in line with HHS’ vision, mission and strategic priorities. Relationships and work touch all clinical areas of HHS, and our networks are extensive both internally and externally. McMaster University and Mohawk College are significant collaborators in our daily work. The Interprofessional Development team is positioned within the Nursing Practice, Education and Community Health portfolio and supports HHS staff and learners with their education, professional development and practice needs. Services provided include staff education and development; learner placements; libraries, Internationally Educated Nurse (IEN) programs and Ministry Health Human Resource initiatives.Position SummaryProvides high-level independent administrative support to the Director, Interprofessional Development, along with meeting internal and external organizational needs enabling the Director to efficiently and effectively lead programs. The Program Director Secretary has the ability to exercise good judgment in a variety of situations, maintain confidences while balancing multiple priorities including payroll/recruitment, managing calendars, coordinating meetings/events, preparing various materials and documents, supporting learner onboarding, attending meetings and recording minutes, monitoring action items and developing related reports. The Program Director Secretary serves as a central liaison to the Director to keep them well informed of upcoming commitments and responsibilities. Integral to providing information and clear communication relative to services, staff, projects and issues within the program. This role requires excellent communication skills to effectively collaborate with directors, managers, staff, health care providers, learners, other administrative assistants and the general public, ensuring strict confidentiality is maintained at all times. A customer service focus is essential.Schedule Work HoursMonday - Friday, days This position is temporary until January 2027Qualifications1. Graduate of Community College Business Office Administration program or equivalent2. Minimum 3 -5 years’ experience supporting senior level management preferably in a healthcare environment3. Strong administrative and organizational background, ability to prioritize, multi task, schedule and carry out tasks with strong attention to detail and deadlines, strong organization and time management skills4. Experience within the last two years in managing scheduling and payroll utilizing KRONOS software is considered an asset.5. Demonstrated excellence in effective communication within a professional environment (written and verbal) and interpersonal skills, with expertise in agenda and minute taking skills6. Demonstrated excellent computer skills in a variety of applications including Windows, MS Word, MS Access, MS PowerPoint, MS Excel, Taleo, KRONOS, My HR, Meditech, Management Information Tool, Basware, E-Way & electronic forms ordering 7. Proficient keyboarding skills (60 wpm)8. Effective and creative problem solving and analytical skills9. Team player with strong sense of ownership and accountability; ability to work independently using own initiative, organize and establish priorities10. Demonstrated ability to appreciate the confidential nature of the position11. Demonstrated record in pursuing own continuing professional development12. Demonstrated ability to develop systems that create efficient work flow13. Demonstrated commitment to the HHS vision and continuous quality improvement14. Demonstrated understanding of the corporate context and ability to make suggestions and create systems which will assist the program within this context.
