Reporting to the Manager of COMPASS, the Administrative Supervisor will work collaboratively with the service leadership to develop, implement, and maintain administrative systems and procedures. The Administrative Supervisor will be responsible for providing operational support and lead a team of administrative staff to ensure the smooth and effective day-to-day operation of the Addictions Program. Responsibilities include (but are not limited to) monitoring workflow and daily coverage and utilization of the administrative resources; creating and implementing administrative schedules; support and management of registration, referral and scheduling; providing technical support to admin staff; supervising and delegating activities relating to coordinating meetings and events; facilitating meetings with the administrative team; and preparation of presentations, documents and reports, as required. The Administrative Supervisor will be responsible for organizing, implementing and communicating to the broader team about new administrative processes which support the functioning of the Addictions program. The Administrative Supervisor will be required to understand and train new staff on the frontline roles of the administrative staff. The Administrative Supervisor will cover frontline responsibilities when there are staffing shortages or gaps. The successful candidate will be responsible for overseeing the administrative aspects of the Addictions program as well as supporting administrative staff in 60 WSW and having a keen eye for optimization and finding efficiencies in workflows.You will supervise the administrative tasks of on-boarding and off-boarding of staff, including recruitment, hiring and supervision of staff; ordering supplies; space planning; and preparing and managing confidential information. The Supervisor will also prepare complex and confidential reports, design presentations and coordinate special administrative projects as requested. The Supervisor will act as a liaison with other CAMH departments including Human Resources, Information Management, Purchasing and Finance and external organizations. This position involves ongoing communication and collaboration with internal and external stakeholders, and requires strong interpersonal and communication skills. Success in this role calls for someone who is able to resolve administrative and technical problems, including scheduling system software, and other computer software such as Microsoft Office programs and various database platforms. You will support a workplace that embraces diversity, encourages teamwork and complies with all applicable regulatory and legislative requirements. This position is currently located at the Queen Street Site. Evening work may be required. Minimum Requirements A bachelor's degree in nursing, psychology, social work, healthcare administration, or a related field is required plus 2-3 years of experience in a healthcare setting. Proven ability to work with various interprofessional teams is required. In this role, you are expected to have excellent multi-tasking skills, to work efficiently and effectively under minimal supervision, and adaptable to different styles of leadership. You will be detail-oriented, particularly while working under high-pressure situations, and dealing with conflicting priorities. You have attention to detail, appropriate business etiquette, and good judgment in handling matters of confidential nature. You will possess excellent interpersonal, organizational, problem solving, and customer-service skills. Excellent writing and efficient minute taking skills are necessary. Advanced knowledge of office administration practices and expertise in various computer applications including Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Access, Publisher) and ICARE. Excellent written and verbal communications skills are mandatory.
