Administrative Assistant

This position is based at the Regina Parkway Campus and provides direct face-to-face support to first year psychiatric nursing students and faculty/leaders, while supporting second and third year students and off-site faculty remotely. Primary duties would include support for program heads, and coordination of Professional Services office staff across both sites. Comfort with technologies, ability to coordinate and administer zoom sessions, and navigation in a variety of online platforms is required in the role.

Job Duties/Qualifications, Skills and Abilities(QSA)Job Duties- Communicate information, including admission requirements, to prospective and current students, Saskatchewan Polytechnic faculty and staff, government departments, external institutions and agencies, and provincial licensing bodies (RPNAS).
- Generate class lists and application reports from Banner, and send out appropriate information to new and prospective students.
- Maintain class lists and student progress tracking sheets, and compile reports on student numbers.
- Prepare paperwork for course start-up, including section requests, booklists, and student welcome information.
- Assign testing sites and coordinate exam writing for students with Saskatchewan Polytechnic testing centers.
- Anticipate student numbers and ensure sufficient course material is available in the bookstore.
- Organize labs, including booking facilities and classrooms; preparing information to send to students; and arranging Fit testing and photo ids.
- Coordinate tracking of student documentation and risk management required for clinical.
- Prepare student completion documents for registration services and licensing bodies.
- Plan and organize meetings, including preparing agendas, arranging catering, and recording and transcribing minutes.
- Assist with organizing approval visits and prepare required material.
- Format, proof, edit and distribute correspondence, proposals and reports.
- Manage electronic and archive files, and confidential student files.
- Act as liaison between the program area and Saskatchewan Polytechnic service areas, including registration, bookstore, library, facilities, shipping, marketing and printing.
- Order furniture and office supplies, creating purchase orders on FAST and tracking expenditures on department procurement card.
- Perform in a multi-tasking environment with changing priorities.
- Develop and streamline administrative processes and procedures to enhance productivity and provide efficient support to program head and faculty.
- Coordinate Professional Services office staff across both sites.
- Grade 12 plus a recognized office administration certificate or an equivalent combination of training and experience, which must include training and/or experience in minute taking and transcription.
- Two years recent and relevant experience performing administrative and clerical work.
- Training and/or experience at the intermediate level in the use of common software packages, i.e. MS Office Suite.
